Duties and Responsibilities

The incumbent in this position is considered to have regulatory responsibilities and is subject to the provisions of Chapter 60L-36, Florida Administrative Code.

The incumbent in this position is expected to become familiar in the Department’s reentry initiatives; display leadership skills that demonstrate the Department’s commitment to reentry efforts while maintaining a professional demeanor. The incumbent in this position is expected to perform other duties as necessary. The employee in the position allocated to this class must spend a minimum of 75 percent of their time preforming duties which involve contact with patients/inmates in a correctional or forensic facility or institution



Specific Duties and Responsibilities


The incumbent will be acting on behalf of the institution providing administrative checks and balances needed to ensure that the assets of the Department are protected and all legislative requirements are met.  Duties may include, but will not be limited to the following:


  • Provides clerical and operational support of the daily operation, where applicable, of the mailroom, inmate discharge function and cash receipts, and laundry operations.  This includes, but is not limited to, the receipt, storage and distribution of commodities from vendors; receipt, inspection and distribution of all mail for the institution as outlined by procedure. Conducting legal mail callouts on a rotating monthly basis.


  • Distributes all incoming and outgoing institutional mail, prepares routine replies to correspondence/ inquiries and types reports.  Assists institutional staff with routine questions and/or problems.


  • Provides clerical support of institutional operations, where applicable, in handling court documents and interpreting documents as related to mailroom operations.  Serves as backup to other staff in their related duties as deemed appropriate.


  • Establish and maintain professional working relationships with staff and others by offering assistance by telephone or in person with intake data, completing correspondence, data entries, file creation, and file imaging while providing professional courtesy and a positive demeanor for approachable lines of communication between the institution and the public sector. 



  • Maintains suspense and permanent files on documents and ensures timely action is taken.
