This is a position established as a Purchasing Agency II within Financial Services. The primary function of this position is to perform Purchasing functions for DDDP & Pathways facilities; to include review / process MyFloridaMarketPlace (MFMP) purchase requisitions (PR), assist with formal solicitations, records management, assist all departments as needed.

Expedite Purchase Orders (Direct Order/Visa/Trust Account) for emergency supplies. Follow up with vendors and DDDP/ Pathways employees regarding outstanding purchase orders. Update any changes to the purchase order and visa file. Process other purchase requisitions for goods and services in a timely manner. Ensure all purchases made are in compliance with Chapter 287 Florida Statues and APD purchasing rules and regulations.

Check and verify specified prices. Obtain price verifications, eQuotes and phone quotations. Analyze price proposals and other data to determine reasonable value. Tabulate bid results from various sources, review and award bids. Resolve any problems regarding bids.

Maintain an up-to-date State contract file, vendor information for all standard commodities, bid, and any other requirements for auditing purposes. Maintain complete files for auditing purposes.

Review and Edit all My Florida Marketplace (MFMP) purchase requisitions’ received for accuracy and bring any discrepancies to the attention of the OMCII and / or Administrative Services Director. Track all visa purchase requisitions, following up with vendors to charge visa, obtain an invoice and all necessary documentation for the visa reconciliation report.

Answer routine questions and resolve problems with various department heads and / or vendors. Assist vendor’s in updating addresses, FEID numbers, etc. in MFMP.

Prepares technical and complex bid specifications, purchase requisitions, prepares scope of work, statistical data, procedures and reports, etc., as required

Research for all departments and assist the MFMP requestor in preparing purchase requisitions directly from the Department Management Services State Term Contracts, when applicable.

Negotiate / Renegotiate and administer contracts with vendors, arbitrate claims and resolve complaints that may arise from performance of contract or purchase orders. Evaluate and monitor contract performance to determine the need for change and to ensure compliance with contractual obligations.

Sort, file, distribute copies of copy machine meter readings, direct orders, visa orders, trust account orders, cost, delivery, product performance, inventories and other computer generated documents to appropriate departments and / or vendors.

Responsible for tracking and calling all vendors with maintenance service agreements.

Responsible for completing all required training.

Meet with vendor representatives.

Perform other related duties as required

WORK SCHEDULE  

This position is located at a 24-hour facility.  Staff members must be agreeable to working a shift schedule; regular, evening, or night. Days Off: Varies. 

Employees may be required to work additional days/hours based upon the needs of the facility and center.  This includes, but is not limited to ensuring facility coverage, activities, holidays, and emergency situations.
