This is a full time support position in the Miami office of the Bureau of Medicaid Program Integrity (MPI) that performs duties of an administrative nature.  The incumbent has the responsibility for facilitating the operations of the work unit and performing secretarial duties for the Agency Administrator.  The incumbent is responsible for the accurate and timely execution of the following responsibilities:

Serving as the front desk clerk in the reception area of the MPI-Miami field office.

Receiving and promptly routing telephone calls to staff within the office or other program staff, as appropriate.  Ensuring telephone coverage during any absences.

Receiving and distributing incoming mail on a daily basis to administrator and unit staff.  Ensuring that outgoing correspondence is addressed accurately and mailed on a timely basis.

Typing and proofreading correspondence, reports, memos and letters, etc. for unit staff. 

Coordinating the photocopying and assembly of written materials for unit staff including materials for legal proceedings such as administrative hearings.

Maintaining the office file system.  Preparing reports, spreadsheets, other documents, and presentations for use by the unit.

Completing travel arrangements for office staff, including travel reimbursement vouchers and pertinent documents.

Performing related work as required.


  • Knowledge of general office equipment (copiers, scanners, faxes, printers, etc.);
  • Ability to use Microsoft Office software; ability to deal with the public in a professional manner;
  • Ability to work independently and with others; ability to multi-task;
  • Ability to plan, organize, and complete work assignments in a timely manner.



  • Two years of secretarial or clerical work experience supporting a staff of six to eight people is preferred. 
  • One year of professional use of computer software programs Outlook, Word, Excel, and PowerPoint is preferred.
