DESCRIPTION OF DUTIES
Duties and Responsibilities This position spends the majority of the time engaged in supervisory responsibilities. This includes communicating with, motivating, training, and evaluating employees in addition to planning and directing employees' work. The incumbent has the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action. The incumbent will also be required to develop performance expectations, meet with staff regularly to discuss performance, complete performance reviews, maintain vacation and work schedules, ensuring proper coverage, and complete timesheets. Develop, plan and direct the daily activates of staff engaged in collecting, recording, maintaining and filing vital records. Prepare performance evaluations, approve leave request, assign duties and responsibilities, interpret policies procedures rules and regulations to record specialists and record technicians who are responsible for writing receipts for services rendered by Vitals Statistic. Ordering and/or approving purchase requisitions in MFMP(My Florida Market Place). Manage the monitoring system for communicable disease death; notify foreign consulates of any communicable disease outbreak when bodied are shipped out of the U.S.A. Consulting with Health Department Immunization Department regarding infant death. Interpret and administer the provisions of vital statistics laws, regulations established pursuant to the laws, and other pertinent statutes relating to the official recording of births, deaths, stillbirths, and adoptions in the State of Florida. Investigate possible fraudulent requests and alterations of records and enforce laws and regulations in recording and issuance of Vital Statistics; cooperate with Federal Bureau of Investigations, CIA, Passport Agency, Customs, Immigration officials, Social Security Administration, Law Enforcement and various governmental agencies in their investigations. Assist the Chief Deputy Registrar in the daily accounting for the integrity of safety paper, including its ordering, storage and usage in compliance with the Bureau of Vital Statistics’ Operations Manual. Provide consultation to appropriate personal regarding administrative work in maintaining records, obtaining statistics and preparing reports used to evaluate programs; recommend related procedures. Ordering official forms from the State Office Warehouse; ensuring adequate supplies are maintained in VS Office. Manage and monitor the e-vitals automated system and supervise the financial functions relative to fee collections for birth records, death records and any other fees. Provides technical assistance to our hospital and birth centers on the new “NON-VIABLE birth certificate” based on the New Florida Statute 382.0085. Revise and approve requests from the State Attorney’s Office, Department of Children and Families (court orders), local police departments and other official agencies. Responsible for setting up and notarizing all documents used for amendment in our office.

MINIMUM QUALIFICATIONS
1. Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency.
2. Experience supervising paid staff in a public health setting.
3. Current employee of The Florida Department of Health.
4. Experience provides technical assistance to our hospital and birth centers on the new “NON-VIABLE birth certificate” based on the New Florida Status 382.0085.
5. Experience manage and monitor the e-vitals automated system and supervise the financial functions relative to fee collections for birth.
6. Experience Investigate possible fraudulent requests and alterations of records.
7. Experience managing the monitoring system for communicable disease death.
8. Experience ordering and/or approving purchase requisitions in MFMP(My Florida Market Place).
9. Valid driver’s license.
PREFERRED QUALIFICATIONS
- A minimum of four years experience working in a Vital Statistics Office in the state of Florida.
- A minimum of four years experience processing funeral homes orders, working with e-vitals system, and handling cash, credit card and checks.
- Experience working in a supervisory roll handling confidential information in a Vital Statistics office.
- Experience performing customer service; face to face or via telephone in a vital Statistick office.
