MINIMUM REQUIREMENTS:
A high school diploma or its equivalent and three (3) years of secretarial or clerical work experience.
College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
Requires possession of a valid Class E driver license.

JOB DUTIES:
This position serves as Staff Assistant to the Maintenance and Construction Superintendent for the Division of Plant Industry.
Processes P-card charges, invoices, purchase orders, and requisitions for approval through the Division Fiscal Office. Maintains records of purchases, purchase orders, requisitions, and bids. Assists with scanning and uploading supporting documents into required systems.
Completes monthly vehicle logs for maintenance. Updates and maintains the work order database. Orders Maintenance shop supplies. Maintains and updates the DPI Maintenance SharePoint site.
Assists supervisor with project management and annual records inventory.
Assists in hiring and training OPS custodial workers. Assists with custodial duties when understaffed or as needed.
Makes travel and hotel reservations for the supervisor. Processes supervisor’s travel requests and reimbursements.
Performs other related duties as required by the supervisor.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Knowledge and experience with spreadsheets, databases, and web-based programs.
- Skill in performing basic math, writing, and problem-solving.
- Skill in completing and maintaining accurate records.
- Ability to organize tasks simultaneously, prioritize work, and follow through on completing tasks within defined timelines.
- Ability to sort data alphabetically and categorically.
- Ability to record information and file accurately.
- Ability to effectively communicate, verbally and in writing.
- Ability to work with others in a calm, professional and courteous manner.
- Ability to lift up to 50 pounds.
