STAFF ASSISTANT

APD TACACHALE NURSING DEPARTMENT

GAINESVILLE, FLORIDA

 

This is independent production work operating a personal computer in the Nursing Department. The incumbent spends a majority of time inputting and retrieving data for tracking purposes for preparation of various reports and analysis of data for more efficient services.

 

Manages/maintains employee health records including database for immunizations and annual recall. Tracks process for compliance and routes copies of Employee Health Notification form to Department Heads upon completion. Provides a monthly status report of Employee Annual Screen to Department Heads and the Infection Control Nurse. Ensures that First Notice of Injury (FNOI) is delivered to the Workers’ Compensation Coordinator in a timely manner.

 

Manages and maintains the resident immunization database.

 

Schedules, coordinates and maintains the database for specialty clinics. Records and coordinates the flow of patients for the special clinics.

 

Routes, screens, forwards and follows through in processing incoming and outgoing mail. Orders and maintains office/medical equipment, supplies, forms vehicle/maintenance/equipment work orders. Answers and forwards phone calls. Serves as communication liaison between other departments and Tacachale Health Center.

 

Uses various computer programs and assists the staff assistant in the nursing office with tracking systems, spreadsheet reports, meeting minutes and other processes as needed. Serves as relief staff for the Staff Assistant in the Nursing Department.

 

Assists/instructs medical and other support staff in the use of various office equipment and computer hard and software. Oversees the use of the copy and fax machines, including assisting staff.

 

Tracks timesheets for the Nursing Department ensuring accurate completion prior to filing and submitting to Human Resources as required. Prepares short hours/leave without pay reports. Serves as timesheet resource person for the Nursing Department.

 

Uses the medical records retention guidelines to purge records, files, medical, and nursing documents on the homes as needed.

 

Performs other duties as required.

 

KNOWLEDGE, SKILLS AND ABILITIES

 

Knowledge of correct spelling, punctuation and grammar use.

Knowledge of letter, return and tabular formats.

Skill in typing.

Ability to operate word processing equipment.

Ability to type letters, memoranda, charts, and other standard business forms in correct format.

Ability to use Word and Excel software.

Ability to proofread work for typewritten and grammatical errors and make corrections.

Ability to communicate effectively with others.

Ability to set-up and maintain tracking systems.

MINIMUM REQUIREMENT(S)

 

A High School Diploma.

 

A valid Florida Driver’s License. (If initially hired with an out-of-state license the Florida resident must obtain a valid Florida State driver’s license within 30-days of hire. License suspended or revoked for any reason, work permits (Business purpose/Employment/Education only license) and some types of restricted license are not acceptable. License that have “Corrective Lenses Restricted,” are acceptable, provided the driver wears the corrective lenses while operating the vehicle.

 

WORK SCHEDULE

This position is located at a 24- hour facility.  Working hours are from 8:00 A.M., to 5:00 P.M. Monday through Friday.  Off Days: Saturday and Sunday.
