Your Specific Responsibilities:

  1. MAILROOM FUNCTIONS

 

  1. Collects incoming mail from all sources and distributes to the appropriate department
  2. Handles/collects all outgoing mail and packages and prepares for shipping
  3. Maintain “Daily Mail-in Log” and distribute payments sent thru the mail to correct department for processing (i.e. Vitals or Accounts Receivable).
  4. Building 1 administration hallway package clearing

 

  1. CHANGE FUNDS

 

  1. Distributes and collects Change funds and cash bags to 1st building
  2. Makes bank run deposits

 

  1. FLEET CUSTODIAN

 

  1. Serves as key custodian for CHD’s fleet vehicles
  2. Coordinates fleet reservations
  3. Maintain vehicle maintenance log and service schedule for CHD vehicles
  4. Transport vehicles to contracted vendors for scheduled maintenance as needed
  5. Transport vehicles for monthly car washes
  6. Completes and sends Vehicle log reports to Central Office before the established deadline

 

 

  1. FISCAL FUNCTIONS:

 

  1. Reconcile all invoices that are over 60 days and listed on vendor statements or notices
  2. Assess vendor warrants greater that 90-days and close the expense in Axiom.
  3. Run MFMP and FIRS reports to identify open purchase orders later than 60 days and work together with the accountant to resolve.

Required Knowledge, Skills, and Abilities:

Knowledge of:

  1. FDOH policies and procedures.
  2. Record keeping.
  3. Basic bookkeeping and accounting principles and collection regulations.
  4. Information technology systems, software, and practices.
  5. General office procedures and practices.

 

Skills in:

  1. Computer software/system applications (Excel, Word, PowerPoint, SharePoint, etc.).
  2. Providing customer service to internal and external customers.
  3. Effective verbal and written communication.
  4. Problem solving and critical thinking.
  5. Time management.

 

Ability to:

  1. Handle multiple priorities at once with little to no supervision.
  2. Ensure timely completion of activities.
  3. Maintain confidentiality (HIPAA regulations on privacy and security).
  4. Work under pressure and adjust to a diverse working environment.
  5. Establish and maintain cooperative and professional working relationships with others.
  6. Occasionally lift, carry, and move objects weighing approximately 5-50 pounds.
  7. Calculate, post, and manage accounting figures and financial records.

 

Qualifications:

Minimum -

  • Florida Department of Health Employee
  • High School Diploma or G.E.D
  • One or more years of verifiable data entry or clerical experience in a financial or business office setting
  • Willing to lift, carry, and move objects each weighing approximately 5-50 pounds
  • Willing to travel locally for bank runs, vehicle maintenance drop-offs and pick-ups, and car washes as needed
  • Willing to perform emergency duty during disasters before, during and/or beyond normal work hours or days

Preferred -

  • Proficient in Microsoft Office applications such as Outlook, Word, and Excel
  • Experience using Microsoft Excel for financial tracking, reconciliation, or reporting
