There is a highly responsible administrative position in the Bureau of Medicaid Quality. The incumbent in this position is responsible for assisting an administrator over a section, providing support to assigned unit staff, and assist with daily bureau-wide functions.
The incumbent shall: Assist with faxing, copying, scanning, filing, purging, collating, arranging, compiling, transcribing and typing documents. They will maintain and coordinate scheduling of appointments, conferences, or meetings including space, time and place; inform participants of topics to be discussed and provide them with back ground information. They shall assist with compiling, arranging, or redacting of data and documents.
They will manage the inventory of and coordinate the purchasing of supplies and distribution to staff. They will answer and route telephone calls, coordinate the daily mail and folder distribution. Prepare and coordinate travel requests including reimbursements, P-Card reconciliations, and Florida Accounting Information Resource (FLAIR), and prepare Network Access Forms (NAFS). They shall assist with the coordination of new employees, and help with the coordination of surplus property and office moves. They will prepare and maintain invoicing (My Florida MarketPlace).
They will assist with the personnel management functions for the bureau. Assist and maintain proficiency with current personnel rules and regulations. Assist with the maintenance of position descriptions, classification specifications, records of personnel and budget actions relative to establishing new positions or effecting changes to existing positions. Assist with the advertising of position vacancies to ensure appropriate recording, review, acknowledgement and the processing of all applications. Helps with the processing of new employees.
Assist with the creation of departmental organizational charts, staff rosters and phone/fax lists. The incumbent must be able to work independently and must be able to prioritize workload, multitask and meet deadlines. The incumbent must have the ability to communicate effectively, both verbally and in writing. They must be able to work cooperatively as a member of a team, and demonstrate the indicative to seek the necessary training/resources to enable completion of assigned job functions.



• Knowledge of administrative and office principles and practices.

  • One year of general office experience working with Microsoft software products including Excel.
