This advertisement is for a Career Service position for the Bureau of Finance and Accounting in Tallahassee, FL.

SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY. EMPLOYEES ARE NORMALLY HIRED AT THE MINIMUM OF THE SALARY RANGE.

Salary Range: $32,696.82 - $58,137.54

SPECIFIC DUTIES AND RESPONSIBILITIES:

Responsible for processing vendor invoices, distribution of warrants to vendors or assisting in the review of vendor invoices in compliance with Section 215.422, Florida Statutes. 

Duties may include but will not be limited to the following:

  • Receives reviews and approves receipt and disbursement source documents for input into the computerized accounting system;
  • Ensures the timely payment of the department’s legal liabilities;
  • Audits invoices for accuracy, proper certification and authorization to pay;
  • Prepares journal transfers when necessary;
  • Codes receipts for input when necessary;
  • Inputs source documents into the computerized accounting system;
  • Review of Flair records including, but not limited to, trial balances, allotment balances, encumbrances, payables, and receivables;
  • Responsible for timely input of adjusting entries;
  • Audits financial records to ensure that records are current, complete and accurate and that all significant data has been recorded and is fairly stated;
  • Assist in the audit or reconciliation process for purchasing card files, identifies deficiencies and initiates action to ensure adherence to GAAS and Department Guidelines;
  • Assists in the modification, design and development of procedures for the improvement of internal control and compliance with established accounting guidelines and procedures;
  • Provides guidance and training to accounting staff and facility liaison personnel;
  • Analyzing accounting data and transactions to ensure accuracy;
  • Recording and interpreting accounting transactions;
  • Auditing financial documentation such as invoices and/or travel reimbursements;
  • Investigating financial information for the purpose of providing guidance, preparing statements, and/or reports;
  • Verifying and processing uploads utilizing Florida Accounting Information Resource (FLAIR), Information Warehouse, Florida Accountability Contract Tracking System  (FACTS), and/or My Florida Market Place (MFMP).

 

KNOWLEDGE, SKILLS AND ABILITIES (KSA’s):

 

  • Knowledge of or experience in invoice processing with MFMP, Works, Statewide Travel Management Systems (STMS), FLAIR, and/or FACTS or similar accounting/procurement and/or bill payment systems;
  • Knowledge of accounting principles, practices, and procedures;
  • Knowledge of the methods of data collection;
  • Knowledge of Outlook, Excel, and Word;
  • Ability to prepare and maintain a variety of accounting records;
  • Ability to prepare financial statements and reports;
  • Ability to design and implement accounting systems;
  • Ability to analyze and interpret accounting data;
  • Ability to understand and apply applicable rules, regulations, policies, and procedures relating to an accounting program;
  • Ability to plans, organizes, and coordinates work assignments;
  • Ability to communicate effectively;
  • Ability to establish and maintain effective working relationships with others;
  • Ability to work independently;
  • Ability to utilize problem-solving techniques;
  • Ability to use automated accounting systems, personal computers, and general office equipment.

 

REQUIRED QUALIFICATIONS:

 

  • Must be currently employed with the State of Florida
  • A bachelor's degree from an accredited college or university

OR

  • years of professional accounting experience.  Professional accounting experience can substitute for education on a year-for-year basis. Support of knowledge, skills, and abilities should be demonstrated on the application in the education, in the work experience, in the work sample, in the interview, and/or during reference checks.
