This advertisement is for a SES (Selected Exempt Service) position located at Central Office in the Public Records Requests Unit within the Office of Administration.

 

Salary: $49,584.67 - $75,177.47 Annual Range

 

SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY.

 

SPECIFIC DUTIES & RESPONSIBILITIES:

The incumbent in this position is considered to have regulatory responsibilities and is subject to the provisions of Chapter 60 L-36, Florida Administrative Code.

This position is responsible for managing the operations of the Department of Corrections Public Records Section. The incumbent will be responsible for managing, planning, and coordinating daily operations to ensure that all public records requests are processed timely and in accordance with all laws, rules, policies, and procedures. Specific duties include, but are not limited to:

 

  • Conducts independent and varied legal research, applying the Department’s governing rules, statutes, policies and practices and applicable laws.
  • Serves as the primary liaison with the Office of General Counsel regarding public record requests.
  • Ensures that the workload within the Public Records Section is effectively distributed and processed in an equitable and efficient manner.
  • Works closely with all record custodians throughout the Department to ensure that public records requests are lawfully satisfied.
  • Ensures that public record requests are properly tracked and that any necessary funds are collected and properly deposited.
  • Provides status reports to immediate supervisor and upper management as required.
  • Responsible for the overall management and supervision of assigned staff including regular communication on performance expectations; motivating the staff for peak performance; providing and/or conducting staff training and development opportunities; planning and directing staff regarding their work assignments and schedules; and evaluating staff performance.  
  • Provide training to subordinate employees and all record custodians in the Department regarding fulfilment of public record requests and proper redaction of records as necessary and in compliance with Florida law.
  • Actively pursues process improvement plans and technology advancements to increase efficiency in all facets of the Public Records Section.
  • Conducts and/or participates in special projects and other duties as assigned.

REQUIRED QUALIFICATIONS

  • Must have three (3) years of experience handling/processing criminal history records, HIPPA or Freedom of Information Act (Public Records Requests)
  • Must possess at least five (5) years of experience using Microsoft Office programs (Excel, Access, Word, and Outlook)
  • Must have at least three (3) years of management experience with at least one (1) year of management within a government organization.

 

PREFERRED QUALIFICATIONS

  • Two (2) or more years of GovQA software experience for managing Public Records.
  • A bachelor’s degree from an accredited college or university.
