Job Description

The incumbent in this position will serve as the assistant to the Bureau Chief of Client Services & Program Support. Duties will include, but are not limited to organizing meetings, securing lodging and meeting space, reviewing and editing policies and procedures prior to dissemination, managing the Bureau Chief’s calendar, and processing all travel authorizations and reimbursements for the entire Bureau.

 

Examples of Work

  • Assists the Bureau Chief with special projects and daily activities to ensure timely completion of all tasks assigned to and by the Bureau Chief.
  • Organizes meeting materials, lodging, and meeting space for Statewide District Meetings. Take minutes of the meetings.
  • Reviews and edits policies and procedures prior to dissemination.
  • Provides technical assistance to field staff.
  • Serves as the Bureau’s personnel liaison; as such the incumbent will be responsible for preparing personnel actions and serving as the timekeeper by maintaining attendance and leave records.
  • Provides assistance for in-service training at the state level.
  • Tracks completion of case reviews by communicating with District Administrators (DAs) to collect case review forms monthly and follows up with nonresponsive DAs to ensure case reviews are conducted each month. Reviews each form and enters the appropriate information on the Case Review QA Scorecard and provides the Bureau Chief with a copy of this report each month.  
  • Maintains a tracking spreadsheet for authorizations over $3,000 dollars and provides the Bureau Chief and Program Administrator with an expenditure report each month. 
  • Serves as the back-up to the Deputy Director’s (DD) assistant by providing support to the DD during the assistant’s absence and also during vacancies.
