POSITION DESCRIPTION: Provides a variety of security and administrative support duties associated with operating the electronic access control system for Department of Transportation (DOT) Central Office facilities and front desk operations. Specific duties include: make and issue access/id cards, enter access and clearance information into the electronic access control system, make badge photographs, maintain files of access request forms, visitor access records, and ensure that record retention requirements are met. Sign in, assist, and monitor visitor access at Central Office using the electronic Lobby Trax system.
Issue and maintain parking permits for Central Office. Conduct walking patrols of the building exterior and parking lots and report unauthorized activity to management. Coordinate with personnel and management regarding parking issues and display of parking tags. Maintain electronic parking records and logs.
Serves as the primary back-up for Facilities Work Order system, DMS Tririga reserved parking contract system and the main switchboard of the Department of Transportation's (DOT) general published contact number (lunch, breaks, leave time and as needed). Receive and route incoming calls to the appropriate office, district, or staff and routing of non-Department of Transportation (DOT) calls to the appropriate agency or organization when possible.
Assist with emergency building security activities to include: Contacting 9-1-1 in the event of a security or medical emergency in the building or on the grounds, using radio equipment to call for assistance, monitoring the fire alarm panel and reporting alarm events to the unit supervisor or management team, immediately contacting the unit supervisor and management team in the event of any building related emergency, and assisting with building evacuations.
Operate and monitor camera surveillance equipment for Central Office facilities during normal working hours.
KNOWLEDGE, SKILLS AND ABILITIES: Skill in use of personal computers. Ability to manage files and filing systems. Ability to communicate effectively; both orally and in writing. Skill in providing good customer services. Ability to work under pressure in a call-center type environment. Ability to respond effectively in emergency type situations that may occur in a large office environment. Ability to effectively monitor surveillance monitors and take appropriate action. Ability to work effectively as a member of a team.
MINIMUM QUALIFICATIONS: A high school diploma or its equivalent and two years of secretarial or clerical work experience. An associate's degree from an accredited college or university may substitute for the required experience.
