Clerk Typist Specialist-F/C - 70001822

 

This advertisement is for a position is for Lancaster Correctional Institution in the Classification Department located at Gainesville Work Camp.

 

SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY.  EMPLOYEES ARE NORMALLY HIRED AT THE MINIMUM OF THE SALARY RANGE.

 

MINIMUM QUALIFICATIONS:

  • Must possess a valid driver’s license.
  • Must possess a High School Diploma or GED.

 

SPECIFIC DUTIES AND RESPONSIBILITIES:

  • Prepares correspondence, memorandums, and assists/performs clerical duties for the Facility Staff.
  • Proof-reads material for correct spelling, punctuation, and grammar usage.
  • Maintains various reports and disseminates information to appropriate personnel.
  • Compiles and verifies information, files, and retrieves materials, and prepares, stores, and prints material.
  • Reviews typed material for completeness, accuracy, and compliance with established standards and policies.
  • Shares responsibility for maintenance of Classification Department filing system, which consists of daily filing of correspondence and routine documentation, as well as occasional revision of the File Guide Headings.
  • Maintains a thorough knowledge of the Classification Department’s filing system.
  • Copies, scans, and faxes documents using the appropriate equipment.
  • Answers telephone calls directed to the Classification Department professionally and screens and refers calls to appropriate person for action.
  • Provides any requested clerical duties as assigned by the Immediate Supervisor.

Duties May Include:

  • Support file audits on newly arriving inmates.
  • Sorting filing materials and placing documents into the inmate file.
  • Typing forms and obtaining and preparing inmate files for transfer.
  • Typing correspondence, letters, memorandums and forms for the Classification Staff.
  • Preparing information for posting to the Inmate Population.
  • Organizing and maintaining files on Classification documentation.
  • Entering data into the CDC data base and obtaining print-outs.
  • Answering phones and providing assistance to callers.
  • Assisting and preparing clerical documents for Special Projects.
  • Sorts and stamps daily Classification mail.

 

KNOWLEDGE, SKILLS & ABILITIES:

Essential/Entry Level KSA’s:

  • Knowledge of administrative and clerical procedures and systems.
  • Knowledge of computer software including applications (WORD, Excel, PowerPoint).
  • Skill in typing.
  • Ability to operate general office equipment.
  • Ability to communicate effectively

Full Performance Level KSA’s:

  • Knowledge of correct spelling, punctuation and grammar usage.
  • Ability to alphabetize and file.
  • Ability to establish and maintain effective working relationships with others
  • Ability to use correct spelling, punctuation and grammar.
  • Ability to type letters, memoranda and other standard business forms in correct format.
