DESCRIPTION

This is a highly responsible position requiring extensive knowledge of scanning and administrative assistance responsibilities. The incumbent must maintain a working knowledge of pertinent Federal and State laws regarding Adoptions, Chapters 63, 39, 409, F.S. and pertinent administrative codes and operating procedures.  The incumbent must demonstrate the Department values of integrity, accountability, responsiveness, empowerment, collaboration, innovation, personal responsibility, quality, urgency, and choice.

 

Essential Job Functions:

Entering data in ADORE for new applications to FARR and requests for non-identifying information and create and mail acknowledgement letters to applicants within 2 days of receipt.

•           Receiving and dating all incoming FARR applications on a daily basis

 

•           Creating a document to send to Bureau of Vital Statistics for verification of amended birth certificate for all new applications from birth parents/family members

•           Sending (monthly) all requests for verification to Bureau via FedEx

•           Searching ADORE for closed records for each new applicant requesting non-identifying information.  Check card file when closed record is not located in ADORE to determine if private agency involved. 

•           Responding to calls about FARR and from applicants

•           Filing (weekly) all new applications and updates pertaining to FARR

•           Assisting in retrieving closed records from storage at Winewood

•           Reviewing each closed record and prepare record for scanning using the Prepare Closed Record for Scanning Protocol.  For example, this includes removing all staples and paper clips, converting doubled sided pages to single pages, printing torn pages and onion skin pages as new pages and saving all photos in an envelope with identifying name information.  

•           Entering the 12 data elements into the ADORE database for each closed adoption record. This includes first, middle and last names of adoptive father, adoptive mother and adoptee, DOB of adoptee, and date and county of finalization.

Print the needed Bar Code Documents based on documents in closed record.

Place each Bar Code Document in front of the appropriate group of documents. The Bar Code Document

•           Scanning closed adoption records.

•           Conducting QA of 10-20% of records scanned.

•           Preparing closed records for shredding. 

•           Uploading closed adoption records.

 

 

 

Education Requirements: High School Diploma

 

 

 

Work Experience Requirements:    

Minimum of 1 year of experience completing administrative support.
