This position is a Senior Clerk – for the FL Department of Health Dental Office in Putnam County. Under the direct supervision of the Nursing Director, this position provides and delivers professional, quality customer service. This position will be required to have a working knowledge of the following, but not limited to: State of Florida and other related systems: Health Management Systems (HMS), Change Healthcare, MY Florida Marketplace (MFMP), People First, TRAIN FL, FMMIS and Patterson software. The incumbent must possess excellent communication skills and is required to maintain a high level of professionalism, good judgement, and courtesy. Access to client personal health information and social security numbers is required for insurance billing purposes. Duties shall be completed in compliance with all DOH, Local and Statewide policy and/or procedures concerning HIPAA, sliding fee scales, and eligibility requirements while maintaining confidentiality and security along with any other such policies and procedures not herein listed.

 

Duties and responsibilities for this position include but are not limited to:

 

General office duties:

  • Operates office equipment such as phones, computers, calculators, scanners, fax, and printers. 
  • Responsible for medical record keeping, updating forms, checking eligibility, ensuring that information in dental records is protected to preserve confidentiality, data integrity, appropriate access for all information both confidential and public record which is stored electronically.
  • Scans in documents as needed and archives old records, per FDOH storage and retention policies.
  • Maintains record of clerical office correspondence, documents, emails, reports, and consents for release of information.
  • Promptly completes all correspondence pertaining to dental records, dental record requests and consents.

 

Front desk/customer service:

  • Warmly greets clients and assists with check-in process.
  • Answers phones and completes appointment reminder calls/notices.
  • Upon each visit, the incumbent will confirm and update each client’s demographics, insurance, services, and billing in HMS and any dental software utilized.
  • Performs “walk-out” process, upon completion of visit, and schedules next appointment if needed.
  • Completes referrals to other offices, provides any records needed, and follows up on all referrals.
  • Verifies eligibility requirements and insurance coverage.

 

Administrative duties:

  • Attends meetings, trainings, and in-services. Records and summarizes minutes from meetings and promptly distributes to staff.
  • Receives and reads incoming correspondence pertaining to clients and distributes to appropriate staff.
  • Maintains supplies at reasonable usage levels.
  • Processes and assists with purchase requisitions in accordance with the departmental and procurement policy and/or statutes.

 

School-based Sealant Program/Outreach:

  • Travels to schools with dental bus and/or school-based sealant program, when needed, to assist with paperwork, cleaning, sterilization, and taking students to and from class. 

Assists with school events, schedules, and rosters. Mails follow-up letters to parents as needed after events.

Other duties, as assigned per supervisor.
