Your Specific Responsibilities:
The incumbent, an Operations & Management Consultant II is an employee of the Florida Department of Health in DeSoto County, representing the agency and its mission and values. The incumbent is part of the organization and is expected to promote cooperation, courtesy and teamwork in a diverse environment. This position is under the direct supervision of the Grants Manager-SES.
Lead Agency Organizational Capacity Area 8
As the Information Custodian for Ryan White Lead Agency securing the designated information set for the purposes of protecting confidientally, data integrity and appropriate access. This responsibility is for all information, both confidential and public records, which are stored in electronic formats. Maintain data filing structure.
Receive Monthly Invoice Documentation from Area 8 service providers and store in electronic format in appropriate file structure. Consolidate monthly invoice documents in monthly invoice package for review by contract manager.
Coordinates Lead Agency weekly meetings including preparation of agenda. Disseminates all acquired information (training, conference calls etc.) to the rest of the lead agency via emails or teams.
Review Policy and Procedures annually and ensure they are up to date in both content and format. Conduct review meetings with Lead Agency Staff and ensure Policy and Procedures are recertified by the CHD Health Officer.
Maintain forms and fee schedule electronic library to ensure current versions are available. Create an electronic forms and fee schedule package annually to be distributed to service providers at the beginning of each grant year.
Consortia / Committees:
Facilitates and participates with the Ryan White HIV Advisory Council (RHAC) Consortia, Sub-Committees and Ad-Hoc. Provides logistical and operational support assisting with the advancement of agendas, charters, initiatives, activities, advocacy efforts, preparation of meeting minutes, track attendance and member contact lists, etcetera. Ensure training and technical assistance resource materials are available to new and existing consortia members.
Quality Management:
Provide technical assistance for performance improvement initiatives and act as a QI subject matter expert. Work with staff to measure the quality of services, compliance with protocols, and program performance at regular intervals. Compile and present a quarterly review of performance improvement initiatives, key indicators, and other results to organizations regarding Part B. Prepare Annual Year in Review and include performance measures
Lead, facilitate and/or advise performance improvement teams. Managing the development and implementation of continuous quality improvement.
Statewide Needs Assessment / Client Satisfaction: Promote needs assessment in Area 8, forwarding information and links to contracted and county health department providers. Enter paper surveys to survey monkey link provided by AIDS Institute. Keep lead agency apprized on the progress of submission and/or reporting.
Work with Community Based Organizations and County Health Departments on the promotion, completion, and submission of client satisfaction surveys. Comprise and track data sharing progress with the lead agency.
Other Duties:
Maintain Complaint/Grievance Logs for Lead Agency and ensure timelines are adhered to for resolution per program guidelines
Assist FDOH HIV/AIDS Program Coordinator (HAPC) and Contract Manager(s) to address site issues ensuring the provision of high quality and timely care and services to patients.
Provide excellent customer service when interacting with clients and internal and external customers.
Attend workshops, training, and meetings as needed, and as requested. Perform other duties as assigned by supervisor.

Qualifications:
Minimum:
Incumbent must possess a valid State of Florida Driver License and have a motor vehicle to carry out these duties
High School Diploma.
Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency. This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural. Emergency duties may also include in-state and/or out-of-state deployment.
