Your Specific Responsibilities:

The incumbent, a Senior Clerk employee of the DeSoto County Health Department, represents coordinate daily operations of the front check-in area, which requires independent decision-making. This is a position which may require work in other program areas such as dental, primary care, medical records, and vital statistics. The employee must maintain current work knowledge and skills based on the Department of Health programs and policies. Employee abides by State/Federal laws governing health information. Employee is responsible to maintain confidentiality, security, privacy and integrity of protected health information. The incumbent is part of the organization and is expected to promote cooperation, courtesy and teamwork in a diverse environment.

Coordinates daily operations of the front desk area to insure smooth customer relations which include:

  • Performs registration functions.  Interviews clients to gather demographics information and to determine pay category, using mandated guidelines to assign appropriate sliding fee scale for clients with no insurance.

 

  • Inputs and updates pertinent information including insurance status, if applicable, into the computerized system following set procedures.  Utilizes Availity, United Healthcare, and Molina portals, and HMS verification to ascertain insurance eligibility and performs tasks according to type of insurance category.

 

  • Effectively conducts clinic and supplies clinician with accurate intake data making changes as necessary.  Provides and ensures completeness of required intake forms, including HIPAA forms and inputs information in computerized system.  Acts as front desk receptionist daily which includes initial screening of clients to determine needs to establish public health services and set up medical/other appointments. Accounts and Scans daily encounter forms in the Health Management System (HMS).

 

  • Performs work in E-Vitals. Taking applications and payments for Birth Certificates/Death Certificates and ensure they are filled out completely before submitting to the Birth Certificate Coordinator for the day. If processor ensuring that all rules are adhered to in the Vital Statistics system and Birth Certificates/Death Certificate are processed properly.

 

  • Maintain Medical Records Department to include records request, transfers, and scanning items into the system. Relaying paperwork to the clinic staff when needed. Pre-authorizations, authorizations and any records or transfers of information required for approval

 

  • Operates daily computer data entry equipment to input and retrieve alphabetical/numerical information in prescribed format, utilizing knowledge of various computer software packages and clinical systems.  Operates and/or utilizes a variety of standard business machines and equipment, including the telecommunication terminals, calculators, copiers, faxes, etc.

 

  • MAIL- Responsible for all incoming daily mail. Stamped with date received and disperses.  This includes date stamping, sorting to appropriate mailboxes. Log in all checks in DOH check log, notify departments of packages too large for box.

 

  • Responsible for inventory of materials and supplies used, requesting replacement of order with enough time for receipt prior to exhaustion of needs.

 

  • Responsible for cashiering duties.  Collects payment of services via cash, credit card, or check and issues computerized or manual receipts for services rendered.  Prepares daily deposit, balancing monies received.  Records medical client services, charges and payments, adjustments, as well as inputting such transactions into the computer system. Follows policy Petty Cash Fund (10APM32). Check out clients enters services.

  • Accept fees over the counter.  If check is received, verify all information is correct, including date, amount, and signature.  Immediately stamp check, issue receipt, and place check in assigned cashier drawer.  If counter payment is made by credit card, verify signature on credit card.  If no signature, verify driver’s license or other form of picture ID.  Print two credit card receipts, have customer sign one to be placed in cashier drawer and give one to customer.  If credit card is received via fax, verify credit card authorization form is complete and accurate, run credit card and print only one receipt.  Attach receipt to authorization form and place both in cashier drawer.  When accepting cash payments over the counter, verify amount, check any bills over $20.00 with the counterfeit pen, issue receipt, and place cash in cashier drawer.

 

  • At the end of each daily shift, close-out cashier drawer.  Count cash and credit card receipts.  Record information on the Daily Summary Sheet.  Have summary sheet reviewed and verified for accuracy.  Lock cashier drawer in safe and secure locking file cabinet

 

Required Knowledge, Skills, and Abilities:

Qualifications:

Minimum :

  • Valid Florida Driver’s License
  • High School diploma or equivalent

 

Preferred:

The preferred candidate has the minimum qualifications, is bilingual in the English and Spanish language and has experience in customer service.
