Your Specific Responsibilities:

The employee in this position will provide clerical duties for the Polk County Health Department – Tuberculosis (TB) and Refugee/Immigrant Programs. The incumbent works under the supervision of the Director of Nursing & Community Health Services.  This position may service clients that speak only Spanish, Creole, or other languages.  It may require performance of interpreter duties, if bilingual, or implementation of the Department's Limited English Proficiency Plan.  The employee will perform a wide variety of clerical and programmatic functions which will include the following:

 

Clerical Duties:

 

  • Client registration, appointment scheduling, data entry, telephone support, and other administrative activities.
  • Supports efficient clinic flow and day-to-day operations.
  • Performs data entry in HMS, verifies insurance eligibility, processes billing, and accurately records services and other patient information in electronic and written records.
  • Communicates effectively with clients, staff and external partners.
  • Serves as Information Custodian for the TB Unit and ensures records are maintained in accordance with applicable protocols.
  • Coordinates Release of Information requests according to protocols.
  • Ensures staff use the most current and approved documents in accordance with Department of Health (DOH) policies and procedures.
  • Scans, organizes, and electronically files documents in accordance with established procedures and records management requirements.

Building Manager & Financial Duties:

 

  • Maintains inventory, order supplies, initiates purchase requisitions in My Florida Marketplace, process invoices, reconciles P-card transactions, and verifies purchases for accuracy, completeness, and quality.
  • Prepares mileage documentation, creates reports, and records meeting minutes.
  • Serves as Vehicle Coordinator, maintaining state vehicles.
  • Submits monthly vehicle mileage logs by the first of each month.
  • Maintains contracts and purchase requisitions.
  • Assumes building manager responsibilities.

 

 

Other duties as required.

  • Provides clinical support by chaperoning provider examinations, and assisting with other patient care activities as needed such as Direct Observation Therapy (DOT) and/or Video Observation Therapy (VDOT).

Qualifications:

  • Florida Driver’s License – Must possess a valid Florida Driver’s License.

Emergency Duty: Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency.  Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
