Duties and Responsibilities:
This is a highly responsible administrative and professional position in the Budget section of the Finance and Accounting Office at the Florida Department of Health in Manatee County (DOH– Manatee). At all times, maintains confidential information such as social security numbers, medical documents, and other confidential data in a secure manner. Respects the confidentiality of personnel related issues by not discussing with unauthorized staff. Ensures discussions held between authorized staff cannot be overheard by unauthorized staff. Reports suspected breaches of security to supervisor immediately. This position may require reaching, bending, stretching, twisting and stooping.
Lead duties for the Business Office for all purchase requests, including special projects, are completed timely (AOD, WORKS, and special payments such utility bills through AXIOM). This includes timely invoicing and payments. In addition, coordinate the Business Office key performance indicators, and process improvement activities to include projects and reporting. Assist with annual Internal Control Questionnaire (ICQ), Electronic Payment report, Medicaid Cost Reimbursement Report, and maintaining Operating Capital Outlay (OCO) items list. Conducts annual Med Room Inventory - Plan, organize, count all meds, and record on the logs created.
Assist with the WIC monthly reporting.
Assist with Emergency P-Card purchases during shelter activation. Maintains electronic and hard copy files. Communicates with DMS, MFMP-AOD helpdesk, central purchasing agents, or other state members or staff by phone or email. Food vouchers-Issue for events or community gatherings, keeps record of issuance, food vouchers kept in safe ($25.00 each voucher). Assist with receiving daily petty cash cashier boxes, and vehicle keys as needed.
Performs other duties as required including purchasing agent for divisions outside of Finance and Accounting and back up to Budget Analyst.
Other duties as assigned including emergency related/shelter.

Emergency Duty: Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
