MINIMUM REQUIREMENTS:

 

A high school diploma or its equivalent and three (3) years of secretarial or clerical work experience or;

 

College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience or;

 

Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.

JOB DUTIES:

 

This is administrative work assists an official in the operation of a program or work unit. The employee assigned to a position in this class researches and gathers data and prepares written reports; independently initiates special projects; interprets policy; provides guidance and assistance to further the achievement of the goals of the work unit or program; formulates projections and recommendations; and makes independent conclusions based on data available.

 

EXAMPLES OF WORK PERFORMED:

  • Performs fiscal, personnel, purchasing, statistical, reporting and other major office functions.
  • Daily processing all purchases made by account holders of the Myakka River District.
  • Processes a variety of routine correspondence, investigates subject matter and prepares replies.
  • Maintains files containing reporting requirements for the fiscal, technical and administrative management of projects.
  • Collects, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing or report writing.
  • Serves as liaison between the Myakka River District, the Field Operation Bureau and the Director's Office.
  • Tracking and the processing of travel forms needed for deployment, field projects and training.
  • Preparation and accounting for the proper and timely processing of the encumbrances of all purchase orders.
  • Maintains personnel and training records.
  • Performs duties related to all personnel matters including, but not limited to personnel policies and procedures, initiating the drug and alcohol testing program, participating in recruitment procedures, preparing employment candidate packages, administering the Worker's Compensation Program, provides information on insurance and retirement benefits and time keeping.
  • Public records request liaison.
  • Coordinates and performs special assignments, research and reports as assigned by the District Manager.
  • Performs related work as required.

  • Knowledge of the methods of data collection.
  • Knowledge of the principles and techniques of effective communication.
  • Ability to maintain files.
  • Ability to operate a computer, FAX machine, copier and other office machines for the purpose of composing and processing a wide variety of correspondence and reports.
  • Ability to prepare correspondence and administrative reports.
  • Ability to perform basic arithmetical calculations.
  • Ability to utilize problem-solving techniques.
  • Ability to work independently.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
