This position will play a key role in supporting agency operations by overseeing front desk activities, delivering responsive customer service, efficiently directing communications, managing mail distribution and providing essential administrative support to staff.

Annual Salary Range:

Your Specific Responsibilities:

Perform front desk receptionist coverage or any other area to promote and enhance the production level of administration overall, including communication/switchboard, security, customer service, information dissemination, administrative reports and other administrative support tasks as identified by the Office Operations Manager.

Reviews and distributes mail.  Coordinates, schedules and sets up conferences and meetings for the Office/Section. Uses a variety of software applications, databases, and office equipment to accomplish assigned tasks.

Performs administrative support duties and responsibilities assisting the staff.  Create memorandums, letters, spreadsheets, reports, presentations and schedules consistent with approved formats as needed by staff. Maintains and updates SharePoint site as needed.

Prepares and processes fiscal paperwork for purchases made by Electronic Procurement Requisitions, Local Purchase Orders and Purchasing Card charges in WORKS according to current directives and procedures. Process invoices/warrants in accordance with provisions and requirements of Section 215.422. F.S. Tracks expenditures and encumbrances

Provide support in the annual inventory process by locating and scanning assigned property and equipment.

Assist in Emergency Operation Recovery Efforts

Other Job-Related Requirements:

  • Responsible for adhering to the provisions and requirements of Section 215.422,F.S., related State Comptroller's rules, and Department of Transportation's invoice processing and warrant distribution procedures. On an as needed basis may be required during periods of emergency and/or disaster recovery upon request by appropriate authority, to work beyond established work schedule at night and/or state-wide, including weekends. Overnight travel may be required for statewide meetings, training, conferences, or seminars. Employee will be required to be responsive to emergency situations within a very short timeframe and serve in the Transportation Emergency Management Team (TEMT).
