Duties and Responsibilities:
The incumbent, an employee of the Florida Department of Health in Manatee, represents the agency and its mission and values. The incumbent is a part of the global public health organization and is expected to promote cooperation, courtesy and teamwork in a diverse environment. The incumbent may be cross-trained to work in various clinics, including medical records.
Attends needed training each year, including all mandatory training and training that promotes professional and personal growth. Participates in other approved activities that promote professional and personal growth. Enters own EARS in a timely manner.
Clinic Services Support:
- Receives and screens telephone calls; routes appropriately;
- Set appointments for clinic services; calls to remind clients of appointments
- Informs clients, visitors, and the public about agency services;
- Retrieves Immunization Clinic Records from the FL Shots online system;
- Follow the paperless data entry process.
- Reviews billing forms for omissions and routes to fiscal daily.
- Preforms duties of a cashier.
- Ensures that each client has been registered into HMS and Florida Shots.
- Receives, reviews for omissions and enters Client information in HMS and FL Shot Demographics; orders and maintains clinic forms and office supplies;
- Appropriately uses Q-Flow.
- Provides clerical support to clinic areas for routine activities and special projects.
- Serve as a floater translator on clinics as requested.
- Assists with preparation of the productivity report for the Public Health Services Manager on a monthly basis.
- Quality Assurance reviews.
Specific objective measures:
- Reviews billing forms for omissions and routes to fiscal daily
- Collect client’s payments and close daily transaction with 98% accuracy
- Balance daily transactions
- Updates client demographics at each client visit 95% of the time
- Scans required forms into clients HMS electronic record
- Meets or exceeds SMART performance expectations to include but not limited to Manatee CHD snapshot measures,
Administrative Support:
- Assist the Public Health Services Manager in retrieving data using Meaning Full Data model to be analyzed.
- Participates in preparation of various meetings.
- Copies and distributes materials as needed to others.
- Acts as a receptionist; professionally greets and assists customers from culturally diverse backgrounds. Ensures services are provided that satisfy the needs of the customer.
Medical Records Support:
- Answers phones for various Medical Records in a courteous manner and provides assistance to callers per Customer Service policy.
- Assist Registration Desk in processing clients as needed
- Assist with administrative duties Medical Records as needed. Example of duties: prepare Family Planning Waivers application database, cover front desk check point leave and lunch times, reviewing billing reports to ensure compliance, scanning documentation into HMS.
Other duties as assigned by Clinical Services Division Director, Health Officer or designee.

Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
