MINIMUM REQUIREMENTS:
 

A high school diploma or its equivalent and two (2) years of secretarial or office clerical work experience; or
 

Possession of a Certified Professional Secretary Certificate.
 

College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience.
 

Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience. 
 

Requires possession of a valid Class E driver license.

JOB DUTIES:
 

GENERAL STATEMENT: This position performs administrative and secretarial work for the Bureau of Citrus Budwood offices in Chiefland and LaCrosse.
 

Orders supplies for greenhouses and office, prepares formal bid requests and processes invoices, resolving problems of payments or charges.  Keeps records of expenditures, monitors budgeted funds, assists in budget preparation and finalizing documents for submission. Sets up and maintains a database of vendors to track purchasing by item and cost.  Makes various reports from the data for Bureau Chief to reconcile to budgeted costs for LaCrosse and Chiefland offices and greenhouse operations.  Reconciles credit card charges. 
 

Coordinates all supervisors’ reports for meetings, schedules staff meetings and assists Biological Administrator in completing all documents necessary for the release of new varieties to the Citrus Germplasm Introduction Program (CGIP) and the Parent Tree Program (PTP). Makes arrangements for conferences including time, space, and place. Serves as secretary for bureau staff meetings and industry meetings.
 

Receives, screens, and routes telephone calls, providing information on bureau functions.  Makes and confirms appointments and schedules, and makes reservations, etc., for staff and visitors. Receives and routes incoming mail, initiating action as appropriate.

Attends conferences to take notes, or is briefed on meetings immediately to know what changes were made and what developments have occurred in matters that concern the Bureau/Bureau Chief.

 

Files and retrieves reports and documents.  Enters data into various database systems. Transcribes from rough drafts by the supervisor or other staff routine correspondence. 
 

Maintains schedules of vehicle maintenance and submits reports.  Keeps records of equipment repairs/maintenance and inspector schedules.  Keeps the Consumer Requests and Complaints Record forms.  Tabulates information and prepares a quarterly report on information received from office employees.
 

Performs other related work as required by supervisor, including assisting other staff members in janitorial duties in office.
 

KNOWLEDGE, SKILLS, AND ABILITIES:
 

  • Knowledge of program policies, procedures and responsibilities of the bureau, and familiarity with rules and regulations of the division and department as they affect personnel and policies for the bureau.
  • Ability to use information technology including Microsoft Office 365 related products, including Word, Excel, PowerPoint and Outlook.
  • Ability to use independent judgment in matters of policy and procedures when receiving and filling requests for budwood.
  • Ability to communicate effectively verbally and in writing.
  • Ability to follow instructions.
  • Ability to establish and maintain effective working relationships with others, as well as plan, organize and coordinate work assignments.
  • Ability to occasionally lift 30 – 50 lbs.
