Must have an Expanded Functions Dental Assistant (EFDA) certificate.  Must have a Dental Radiography Certificate.  Must have experience applying preventive dental sealants.  Must have clerical experience working at the front desk in a dental clinic.  Must have experience scheduling dental appointment.




This position is assigned to the Dental Program to perform chair-side assistance to the dentist, as well as clerical functions that require independent judgment and decision making for the Dental Program.  This position requires close interaction between patients, the dentist, and other dental staff.  The ability to communicate effectively and maintain professionalism and confidentiality are key components of this position.  The assistant must be competent in assisting with preventive, therapeutic and surgical clinical procedures (i.e. dental prophylaxis, dental restorations, dental extractions).

I.  Provides direct assistance to the dentist 

  • Greet and prepare patients for treatment
  • Keep patients calm and comfortable
  • Assist the dentist during examinations and treatments by handing them instruments and materials while keeping the patients’ mouth dry and clear using suction and other devices
  • Document treatment and other notes in patient charts
  • Polish teeth
  • Give fluoride treatments
  • Expose radiographs including bitewings, periapical, and Panorex
  • Provide patient education and post-treatment instructions
  • Prepare tray setups for dental procedures
  • Prepare treatment rooms and instruments
  • Perform routine equipment maintenance
  • Maintain stock supplies
  • Ensure accurate coding on Super Bills and in HMS

II. Performs clerical functions in support of the dental program

  • Client Registration
  • Answer telephone
  • Submit Treatment Plans for approval of services to MMA/HMO/Ryan White/Commercial Insurance Plans
  • Confirm dental appointments
  • Schedule Dental Appointment
  • Verify Medicaid/Insurance
  • Completes Record Releases for client to receive or release records to/from CHD
  • Submit Referral Requests
  • Provide backup clerical services to the front desk

III. Billing Duties:

  • Responsible for auditing Dental encounters daily
  • Reviews that coding is correctly entered in HMS services
  • Verifies dental insurance has correct plan entered in HMS insurance screen
  • Initiates billing process by pulling over CDT coding and placing in unbilled status

IV. Miscellaneous Functions:

  • Participates in staff development such as team/staff meeting, in-service trainings, and continuous education
  • Perform other related duties as assigned
  • Participate in disaster-related duties as assigned
  • Maintain timely submission of EARS and Timesheets
  • Access to Social Security Data and Clinical information for services provided
  • Back up to School Based Sealant Program Clerical Support
  • Provides back up ordering/tracking inventory for SBSP.

Knowledge, skills and abilities, including utilization of equipment, required for the position: Knowledge of general office procedures and practices, correct grammar usage and basic arithmetic. Skills in problem solving, computer software applications (Outlook, Excel, Word, Power Point) and in Critical Thinking-Judgement.  Ability to prepare reports/correspondence, plan, organize, and coordinate work activities, develop and implement office procedures, follow instructions, review data for accuracy and completeness, communicate effectively and ability to establish and maintain effective working relationships with others.
