Your Specific Responsibilities:

Schedules appointments according to policies and procedures. Reviews schedules to ensure they are kept current, and appointments are scheduled correctly. Completes appointment reminder phone calls. Ensures records are prepped and prepared for the next day’s schedule. Identifies any problems in the clinic and/or with scheduling and notifies supervisor. Prioritizes work assignments as required. 

Interviews clients and uses multiple computer applications to determine client financial eligibility for services based on established criteria for new and established clients. Checks to ensure that all demographic and financial information has been obtained, updated, and entered in Health Management System (HMS) accurately. Verifies client insurance information and inputs in HMS.

Completes client check out verifying service coding, billing appropriate services, and accepting payments from clients for services received. Provides receipts to clients. Schedules return appointment. Keep up to date with changes with billing procedure and fees as they occur and has current knowledge of Medicaid, Medicare, third party insurance and sliding fee billing.

Scans and attaches documents to client medical records. Processes and follows up with requests for copies of medical records in accordance with State law and HIPAA. Uses various office equipment including telephones, fax, copy machine and scanners. Maintains hard record copies in orderly fashion per record retention schedule

Reviews reports daily on all clients seen to ensure transactions of clients are accounted for. Verifies payment collected is accounted for and balanced before transferring to the accounting office for deposit at the end of each day. Completes appropriate forms for this process.

Responsible for maintaining knowledge and following Standard Operating Procedures, clerical policies and procedure and Security and Confidentiality procedures. Incumbent will handle day to day duties with a tactful and courteous manner when communicating with customers, both internal and external. Performs other duties as assigned by supervisor

Qualifications:

Minimum

  • Valid Florida Driver’s License
  • 1 year experience in a clinic environment providing office support  (client registration, cashier, answering telephones, data entry) 

Preferred

  • Bilingual 
  • Billing experience
