This position performs independent work assisting management in the handling and coordination of administrative functions in a field office of the Division of Law Enforcement.
May be responsible for or assisting with the processing and maintenance of related records involving expenditures of the field office in such a manner to keep expenditures in the allotted budget. Such duties include establishing annual contracts such as lawn maintenance, building security; coding and processing invoices for payment of purchase orders, field purchase orders, purchasing cards and other office expenditures such as rents, utility bills, contracts, etc., in a timely manner in accordance with Section 215.422, F.S. Maintains files and computer records concerning such expenditures. Responsible for related purchases and arranging for timely repairs as needed.
Responsible for ordering, maintaining, issuing, and reconciling citation and warning books for LE personnel. Processes and tracks Off duty biweekly reports and processes officer reimbursement checks for Off Duty. Ensures officers travel ATIs and reimbursements are correctly completed and timely submitted in STMS for processing. Schedules and process rehabilitation exams and enter Subpoena’s into Smart Cop system.
Assists with the ordering of uniforms and tracking uniform expenditures for sworn personnel; anticipate and coordinate purchasing requirements for field office; distributing incoming mail; and posting outgoing mail. Communicating with the public in a courteous and professional manner, disseminates information and assists with requests for informational brochures distributed by FWC. Assists in overseeing the organization and maintenance of records and files relating to the operation of the office. Such records include official law enforcement documents, report forms, confidential investigative reports, general administrative records, files, and manuals. Arranges conference calls, schedules meetings, and provides information to the public and stakeholders as needed. Assist with yearly area and regional meetings. Ensures accurate and timely entry of such records into the Division's computer systems.
Assists regional personnel with property and inventory including field and office equipment and supplies.
Performs special assignments and tasks as assigned by the Regional Commander, Captain, and GOC to include but not limited to, the development and preparation of various reports, analysis, and other management documents. Performs other related duties and special projects as assigned.
MINIMUM QUALIFICATIONS
Knowledge of purchasing rules; property inventory, finance & accounting procedures, personnel, and budget.
Ability to prepare correspondence and administrative reports
Ability to work independently
Ability to establish and maintain effective working relationships with others.
Ability to communicate with the public in a courteous manner.
Ability to follow written/verbal instruction.
Ability to interpret policies, procedures, and directives of the department.
