APD’s Developmental Disabilities Defendant Program (DDDP) Overview

 DDDP is a forensic facility working with individuals with disabilities in a secure setting that operates on the campus of Florida State Hospital in Chattahoochee, FL, where the campus and facilities are tobacco free.  

Pathways is a 34-bed all male forensic facility working with individuals with disabilities in a secure setting.  These individuals have been adjudicated by the courts as incompetent to proceed to trial and have significant behavioral and psychiatric issues.  Pathways provides rehabilitative, vocational, and daily living skills training to the individuals served which allows for a smooth transition back into a non-secure residential or community setting.

Position Summary 

Main Purpose: The Procedure and Documentation Specialist is responsible for maintaining and improving the organization's operating procedures and related documentation. This role involves auditing existing procedures, collaborating with subject matter experts to ensure accuracy and relevance, updating documentation to current standards, and establishing effective systems for document control and dissemination. The incumbent in this position will work directly with the Director of Quality Assurance to complete the responsibilities listed below.

 

The Work You Will Do 

  Key Responsibilities:

•              Conduct regular audits of existing operating procedures to assess their relevancy, accuracy, and adherence to current formats and standards, paying close attention to review due dates and input from subject matter experts.

•              Update dated operating procedures to the current approved format, ensuring clarity, consistency, and accuracy of information.

•              Schedule and coordinate review meetings with relevant stakeholders and subject matter experts to facilitate the timely and effective review of operating procedures.

•              Identify and correct formatting issues within operating procedures to enhance readability and professional presentation.

•              Create clear and concise process maps using Visio or other relevant software to visually represent operational workflows.

•              Gather necessary information for procedure development and updates from various sources, including existing documentation, process maps, and input from stakeholders.

•              Draft new operating procedures and revise existing ones, ensuring clarity, accuracy, and compliance with relevant regulations, industry standards, and company policies.

•              Implement and maintain a robust system for version control to accurately track procedure revisions and ensure that all users have access to the most current approved documentation.

•              Manage the organization's documentation library, including creating and maintaining an organized index and search system for easy access to procedures.

•              Monitor changes to operating procedures, including tracking updates, revisions, and the creation of new procedures.

•              Conduct regular audits of the procedure library to verify the accuracy, completeness, and effectiveness of the documented processes.

•              Collect feedback from procedure users to identify areas for improvement and ensure procedures are practical and user-friendly.

•              Monitor key metrics related to procedure compliance and effectiveness to identify trends and areas needing attention.

•              Proofread and format all procedural documents to ensure clarity, readability, and accessibility for all users.

•              Disseminate updated procedures to relevant personnel through appropriate channels, ensuring timely access to the latest information.

•              Assist in the planning and preparation for facility-wide audits, including gathering relevant documentation and coordinating logistics.

•              Support the execution of facility-wide audits by working with the Quality Assurance Team.

•              Help track audit findings, corrective actions, and preventative actions in a centralized system.

•              Follow up with relevant departments or individuals to ensure timely completion of audit-related action items.

•              Assist in the compilation of audit reports and the communication of audit results.

 

Minimum Qualifications 

  • A valid driver’s license.
  • Must be able to lift 40 pounds, pull, squat, and stand for extended periods of time.
  • High school diploma or its equivalent is preferred.
  • Must be able to perform duties that involve direct contact with residents in a secure forensic facility.

 

Additional Requirements for This Position

  • Certification in the Agency’s Crisis Prevention and Intervention Program. Advance training may be required.
  • A pre-employment and annual TB screening.
  • Annual CPR Certification.

 

Knowledge, Skills, And Abilities 

  • Strong attention to detail and a commitment to accuracy.
  • Excellent written and verbal communication skills, with the ability to explain complex information clearly and concisely.  
  • Proficiency in using Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience creating process maps using Visio or similar software.
  • Strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.
  • Ability to work independently and collaboratively with cross-functional teams.  
  • Knowledge of documentation control principles and best practices.
  • Understanding of quality management systems and compliance requirements.
