Your Specific Responsibilities:
Manages the overall administrative functions of the District Materials & Research Office. Plans, coordinates, and supervises work assignments and projects for the District Materials & Research Office including, but not limited to: purchasing, records management, all correspondence related to construction projects from advertisement to completion, travel and preparation and distribution of Monthly Status Reports. Coordinates/assists with personnel actions including, but not limited to, hiring packages and performance evaluations. Maintains confidentiality on all issues. Stays up to date with the latest changes in rules, procedures, and processes related to: Human Resources, Purchasing, Travel, etc.
Maintains file system, correspondence, meeting minutes, personnel actions, and other related documents. Coordinates with management and other administrative staff on purchases, transfers, and surplus of equipment to ensure department procedures are followed and all offices are in compliance. Processes purchasing card charges in Works according to procedure. Assists the District Materials & Research Engineer in monitoring and administering the Office budget for purchases.
Processes correspondence and requests for staff and management. Coordinates, schedules and sets up conferences and meetings for the Office/Section including making travel arrangements and hotel accommodations and processing travel requests/reimbursements. Provides direction on personnel rules, travel requests/reimbursements, and other department policies, procedures.
Acts as Unit Training Coordinator and Time Administrator for Cost Center 319. Unit Training Coordinator duties include, but are not limited to, notifying employees of scheduled training, and providing the Training Manager with appropriate training documents for each employee. Time Administrator assists with time sheet entries, approvals, etc. as requested.
Reviews records and reports which require action and recommends solutions or courses of action. Performs special assignments, research, and report preparation. Proofreads reports and
correspondence for staff.

Minimum Qualifications:
Three years of administrative or clerical experience or an associate degree from an accredited college or university and one year of administrative experience
