Your Specific Responsibilities:

Responsible for the supervision of staff including appraisals, planning and directing their work, approving leave, having the authority for hiring, and taking disciplinary action or effectively recommending such actions.  Under limited supervision, this position is a Clerical Supervisor position working under the direction of the Community Nursing Director-SES. This position performs supervisory duties which include, but are not limited to, hiring and selection, developing performance plans, completing up to date job descriptions, conducting performance appraisals, planning & directing work assignments, approving leave, rewarding and taking disciplinary action as appropriate.  Responsible for review, correction and timely approval of staff timesheets, reviewing EARS.  Trains staff to ensure that the functions are performed effectively and efficiently.   Directs the work of employees to ensure best use of time & resources.  Ensures coverage at all times for all positions within the clerical aspects of all 3 clinics.  Evaluates employees' performance and motivates them to provide and improve the quality and quantity of work performed through communication on a regular basis both individually and through staff meetings.  Completes all performance appraisals in accordance with DOH Employee Appraisal system time frames.  The position directly supervises senior clerks responsible for scheduling appointments, processing intake and eligibility, maintaining medical records and processing billing and collecting payments.

 

Manages daily clerical staff operations and work activities for three clinical sites.  Manage staff schedules to ensure coverage, ensures compliance with departmental policies and procures, maintains clinic flow and communicates any discrepancies in wait time to clients. Ensures the day-to-day operations of scheduling, intake/ eligibility/ exit, and billing are completed timely and accurately to maximize patient access, patient satisfaction and collection of payments and keeping the clinics sustainable by managing revenue.  These functions include client scheduling, daily clinical database entry and reconciliation, coordinating client flow including establishing process to improve efficiency and effectiveness of the clinics.  Reconciles and manages or elevates client complaints.

Required Knowledge, Skills, and Abilities:

Knowledge of computer and computer programs. Knowledge of principles and practices of medical office management and supervision, Knowledge of administrative services and program areas such as accounting, budgeting, ability to determine work priorities, assigns work and ensures proper completion of work assignments, Ability to communicate effectively, Ability to formulate policies and procedures.

 

Qualifications:

Minimum –

  • Willing to work before, during, and/or beyond normal work hours or days in the event of an emergency. This may include working in a special needs or Red Cross shelter, or performing other emergency duties including, but not limited to, responses to or threats involving any disaster or threat of disaster, man-made or natural.
  • Associate degree or equivalent work experience.  An official transcript is needed or verifiable documentation for equivalent work experience to confirm your qualifications for this position
  • Minimum 2 years of verifiable supervisory worker experience in a medical office setting
  • Verifiable experience with medical chart audits
  • Verifiable experience with day-to-day clinical operations including intake, scheduling, exit and billing
  • Verifiable experience using clinical databases
  • Verifiable experience creating internal operating procedures and desk references

Preferred –

  • Bilingual (English and Spanish)
