STAFF ASSISTANT – CITRUS COUNTY / POSITION NUMBER 77072479

 

 

This position performs independent work assisting management in the handling and coordination of administrative functions in a Field Office within the Division of Law Enforcement.

 

Assists with the organization and maintenance of records and files relating to the operation of the Regional Office. Such records include official law enforcement documents, report forms, confidential investigative reports, general administrative records, equipment logs and manuals. Ensures accurate and timely entry of such records into the Division's computer systems.  Conducts periodic procedural reviews of the various administrative functions within the office to ensure strict adherence to established policies and procedures related to records retention schedules. Assists LE officers with administrative issues as needed.  Reviews and interprets established policies and directives to ensure compliance with all assigned responsibilities.  Provides information and recommendations for identifying and resolving deficiencies related to processing said records and files.

 

Provides customer service to in person visitors as well as call in customers.

 

Assists with special administrative projects and tasks assigned by the Regional Commander, GOC, and Captain(s), to include but not limited to the development and preparation of various reports, analysis, and other management documents. Assists with area and regional meetings as needed to include travel at times to attend such regional or administrative meetings.

 

Assist with process officer citations and warnings though DLE databases to include scanning/emailing copies to DLE Reports and copying Captain, processing transmittal forms, and amending citations in need of corrections.  Assist with processing Off Duty bi-weekly reports and payments received from officers ensuring they are received and submitted in a timely manner to the agency accounting office by close of business each Friday. Accept and notify officers of received subpoenas by entering into the Smart Cop Subpoena System and sending a scanned copy through email. Schedule and Process Captive Wildlife and Rehabilitation exams.

 

Serves in a shared support role. May assist with other administrative duties such as ordering uniforms and tracking uniform expenditures for sworn personnel; purchase card data entry and filing; anticipate and coordinate purchasing requirements for field office; receipt of wildlife alert payments, distributing incoming mail; and posting outgoing mail. Backs up the call center specialists including answering incoming calls, communicating with the public in a courteous and professional manner, disseminates information and assists with.

  • Knowledge of purchasing rules; property inventory, finance & accounting procedures, personnel, and budget. 
  • Ability to prepare correspondence and reports.

  • Ability to establish and maintain effective working relationships with others. 
  • Ability to communicate with the public in a courteous manner. 
  • Ability to follow written/verbal instruction. 
  • Ability to interpret policies, procedures and directives of the department.

 

 

MINIMUM QUALIFICATIONS:

  • Must be able to work Monday – Friday 8:00 a.m. to 5:00 p.m.
  • Must be willing to work in a team environment and take directives from multiple individuals.
  • Must be able to effectively communicate verbally and in writing. 
  • Must be willing to communicate effectively with the public in a courteous manner. 
  • Must be able to use personal computer. 
  • Must be able to set up and organize office files. 
  • Must be able to work independently. 
  • Must be proficient in Microsoft Word, Excel, and Outlook.
  • Must have a valid driver’s license.
  • Must pass a level 2 background check.
