Position Summary

This is a professional OPS position responsible for comprehensive administrative support to the Regional Operations manager (ROM) and Deputy ROM in the operation of the Region.  The employee provides direct administrative support, coordinates administrative support functions for the Region provides back-up coverage as needed for personnel and other related responsibilities. 

 

The Work You Will Do 

Administrative Functions

  • Accurately routes correspondence in a timely manner
  • Initiates use of approved templates for routing correspondence
  • Coordinates staff meetings as requested.
  • Assists the Regional Operations Manager and Deputy ROM in responding in an accurate and timely fashion to all assignments and deadlines.
  • Prepares materials for meetings that the ROM and Deputy ROM are scheduled to attend.
  • Assist with travel arrangements and prepare travel reimbursement documentation.
  • Ensures adequate phone coverage in the Regional Office.

 

 

Acts as liaison for the ROM/Deputy ROM with other Reginal Staff

  • Maintains an assignment tracker for staff assignments by the Regional Operations Manage/Deputy ROM.
  • Coordinates staff meeting and 1:1 supervision meetings between ROM/Deputy ROM and staff
  • Uses independent judgement to make routine assignments to ROM/Deputy ROM

 

Prepares reports and correspondence

  • Provides initial draft correspondence as requested by the Regional Operations Manager.
  • Initiates use of approved templates for routine correspondence.
  • Provides draft and approved routine reports as assigned by the Regional Operations Manager.
  • Prepares Meeting agendas and minutes of staff meetings.

 

Acts as lead worker in support of other administrative staff and makes recommendations for improvements in systems and routines

  • Observes administrative operations and makes recommendations to the ROM/Deputy ROM for improvements in systems and routines
  • Interprets established policy and provides information for the resolution of problems.
  • Provides training and technical assistance to staff regarding the use of automated office equipment and administrative systems.
  • Performs other duties as assigned.

 

Minimum Qualifications

  • High School diploma or its equivalent.

 

Knowledge, Skills, And Abilities

Knowledge of:

  • Standard business format for letters.
  • Microsoft Office Software (Word, Excel, PowerPoint, Outlook, Access), office procedures and practices, data collection, principles, and techniques of effective communication.

Ability to:

  • Plan, Organize and coordinate work assignments.

  • understand and apply applicable rules, regulations, policies, and procedures.

Demonstrate Skills in:

As a condition of employment, a person appointed to a position in the State Personnel System is required to participate in the Direct Deposit Program.  Rather than receiving a paper paycheck, your funds will be deposited directly into your account at your financial institution. This will be accomplished by Electronic Funds Transfer. Banks, savings and loan associations, and credit unions are eligible to accept such deposits. Retirement funds are also required to be in the Direct Deposit Program.

Background Screening Requirement
