Job Description

This is work providing administrative support by preparing reports, handling administrative and clerical functions such as, preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.
 

Examples of Work

  • Responsible for preparing personnel actions.
  • Serve as timekeeper and maintain attendance and leave records.
  • Prepare position requisitions through the People First System. 
  • Purchase and maintain inventory of general office supplies.
  • Conduct research on availability and cost of goods and services through MFMP (MyFloridaMarketPlace).
  • Maintains files.
  • Maintains Bureau’s records, policies, and processes. 
  • Performs special assignments, research, and report preparation; develops and coordinates the production of information and materials for meetings, conferences and special tours. 
  • Maintains current information on department, division, library and appropriate federal policies and programs; disseminates information regarding policies and programs of state, federal and private agencies and organizations relating to people with print disabilities as needed.
  • Receives, date stamps and distributes all incoming office mail, US Postal and non-US Postal.
  • Prepares correspondence as needed.
  • Completes assignments from verbal or written instructions within prescribed timelines.
  • Checks all work for accuracy and completeness.
  • Serves as the confidential secretary for the Bureau Chief and maintains unbiased objectivity in all dealings with colleagues and customers.
  • Provides general information to the public.
  • Arranges and coordinates travel accommodations and arrangements for Bureau staff and prepares all forms included in travel process.
  • Maintain effective lines of communication with staff.
  • Works independently on special projects and/or assists in directing and carrying to completion special projects, confidential assignments, or other activities as needed by the Bureau Chief.
  • Performs other duties as requested.
     

Preferred Qualifications

  • A bachelor’s degree or higher from an accredited college or university.
     

Minimum Qualifications

  • Two years of administrative experience.
     

Knowledge, Skills and Abilities

  • Knowledge of administrative principles and practices. 
  • Knowledge of office procedures and practices. 
  • Knowledge of the methods of data collection. 
  • Knowledge of the principles and techniques of effective communication.
  • Ability to collect, evaluate and analyze data relating to administrative functions such as accounting, personnel, purchasing or report writing.
  • Ability to prepare correspondence and administrative reports.
  • Ability to understand and apply applicable rules, regulations, policies and procedures.
  • Ability to utilize problem-solving techniques. 
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to communicate effectively.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to safely and easily walk, stand, bend at the waist, reach overhead and lift a maximum of 25 pounds.
