Your Specific Responsibilities:
Serves clerical support role for HIV/AIDS programs. Enters data in CAREWare, HMS, MS Word and Excel for enrolled/eligible Ryan White clients and other HIV/AIDS clients. Secures meeting rooms for staff meetings, trainings and webinars. Sends meeting notices to appropriate staff and attendees. Facilitates webinar and video conferencing, attends HIV/AIDS and case management staff meetings. Prepares agendas and handouts, maintains and prepares meeting minutes, submits reports for approval and dissemination to staff. Continuously checks, forwards, prints and/or sends faxes to ensure timeliness of task completion. Assists clients with programmatic paperwork and provides internal and external referrals. Maintains Hayes Fax System for programmatic staff: Maintains staff log, provides passwords, creates staff profiles, trains staff, and provides technical support to staff as needed.
Manages Ryan White Rotation log (Excel report) for all authorization requests assisting supervisor in ensuring workload is evenly distributed to case managers. Receives, maintains and distributes food vouchers and bus passes to case managers and/or clients. Provides monthly audited report to supervisor. Scans Ryan White client documents into required systems (HMS/CAREWare) as assigned.
Assists fiscal staff in preparing purchase orders for HIV/AIDS programs. Regularly maintains inventory
Miscellaneous Activities:
Attends and participates in general staff meetings, staff development, such as team/staff meetings and in-service/continuing education.
Attends computer skills training classes as needed.
Performs related duties as necessary including public health services during disaster.
Maintains timely submission of EARs and timesheets.
Performs other duties as assigned.
Required Knowledge, Skills, and Abilities:
Knowledge of general office procedures and practices
Skilled at verbal communication, telephone etiquette, and use of DOH-Volusia telephones
Ability to provide guidance and assistance to clients, coworkers, and community partners
Ability to maintain confidential patient information meeting all HIPAA protocols
Qualifications:
Minimum -
Must have at least one year of experience working in a medical office or hospital, medical billing or with medical insurance products.
Preferred -
Experience working with HIV/AIDS clients
Clerical experience in a medical office or clinic
Experienced in maintaining confidential records and ensuring secure communication
