The Work You Will Do:

 

Mail Center Clerk - Disrict Five

 

This position manages the day-to-day operations of the District Office Complex mail room and central supply areas, exercising independent judgment to coordinate schedules, process incoming and outgoing mail, and manage deliveries using USPS and courier services. The role includes sorting and distributing mail and packages, maintaining organized storage areas, and ensuring timely delivery of supplies and materials to staff. It is responsible for monitoring and replenishing office supply inventories, purchasing supplies in compliance with policies and contracts, tracking expenses, obtaining quotes, and ensuring proper processing of invoices and purchase orders. In addition, the position supports event and conference room setup, assists Facilities with building operations and maintenance coordination, and serves as backup for front desk reception as needed. The role also oversees shared equipment and tools by maintaining inventory, managing distribution, and ensuring accurate tracking and accountability.

Your Specific Responsibilities:

 

Performs the daily operation and activity of the mail room and central supply areas for the District Office Complex. Exercises independent decision making in setting schedules with regards to the mail and supply room activities. Receives, checks and signs for supplies and packages; processes outgoing United States Postal Service (USPS) mail using a metered mail system to include traveling to the post office daily; coordinates the daily incoming and outgoing parcel service shipments using various courier services; sorts incoming mail and packages for the District Office Complex and field units. Deliver mail and packages to District Office departments promptly (within the same day received depending on the time of delivery). Delivers copy paper and other supplies to units when requested. Maintains organized storage areas. Ensures office supply inventory levels accessible to employees are maintained/replenished. Purchases office supplies and paper inventories for District Office Complex, using appropriate purchasing methods to ensure supply inventory levels accessible to employees are maintained and paper inventories are replenished.  Purchases necessary office supplies from vendors for the DeLand Kepler Complex as requested/needed. Keeps up to date on all State and Department contracts; maintains a spreadsheet of supplies and expenses; obtains quotes and ensures timely submission of invoices/receipts for Purchasing Card and Purchase Order processing. Establishes and updates mail room, central supply and shared equipment procedures with District Facilities Manager.

 

Provides support for events and conference room setup. Arranges tables, chairs, and equipment for meetings, trainings, and special events; ensures rooms are properly set up according to specifications; resets rooms after use and reports any issues or maintenance needs.

 

Provides Facilities team support, assisting with building operations as needed. Coordinates with Facilities staff to address maintenance requests; helps ensure common areas are orderly and functional.

 

Serves as backup for the District Five Front Desk Receptionist as needed for breaks, lunches, meetings, training, or absences.

 

Oversees the shared equipment and tools program. Inventories office equipment, tools, and related assets; assigns equipment for usage; tracks check-out/check-in of tools and equipment; maintains accurate inventory records and reports discrepancies.

 

The Successful Candidate will have the following required Knowledge, Skills, and Abilities:

 

Knowledge of:

 

  • General office and mailroom practices and procedures.
  • Correct grammar usage and basic math calculations.
  • Current postal and courier service procedures and regulations. 

 

Skills in:

  • The use of personal computers.
  • Electronic mail, word processing, and spreadsheets.
  • Prioritizing and organizing work assignments.

 

Ability to:

  • Safely move up to 50 pounds and perform manual labor which includes bending, reaching, kneeling, pushing, and pulling.
  • Operate various office and mail room equipment; understand, interpret, and follow procedures.
  • Complete forms organize data alphabetically, numerically and/or categorically.
  • Communicate effectively both verbally and in writing, to comprehend and follow instructions either verbal or written.
  • Effectively deliver customer service in a courteous, professional, and tactful manner.
  • Plan, organize, conduct work activities with minimal supervision.
  • Perform and complete work in a timely, efficient, effective and professional manner, independently, and as part of a team.
  • Establish and maintain effective working relationships.

  • Due to the nature of this position, incumbent must respond to emergencies.

 

Minimum Qualifications:

 

  • A high school diploma or equivalent and two years of clerical work experience.
  • Ability to lift 50 lbs.
  • Must have a valid Class E driver's license.
  • College education from an accredited institution can substitute for one year of the required work experience.
