The Work You Will Do:

Senior Clerk - District Five / Facilities Management Office

 

This role oversees daily financial, administrative, and mailroom operations, including processing state purchases and invoices, managing office records, and maintaining equipment inventories. Additionally, it provides essential logistical support by coordinating meetings, handling room setups, liaising with facilities, and serving as the primary relief for front desk operations.

Your Specific Responsibilities:

Financial Administration & Contract Tracking: Keeps up to date on all State and Department contracts. Obtains competitive vendor quotes for purchasing items. Makes purchases using purchasing cards (P-Cards), Purchase Orders, and other approved payment methods via state procurement portals like MyFloridaMarketPlace (MFMP). Processes, prepares, and ensures timely submission of invoices and receipts. Maintains a detailed spreadsheet tracking supplies, expenses, and budget balances utilizing Microsoft Excel and SharePoint.

 

Mailroom & Logistics Management: Performs and oversees the daily operations of the mailroom and central supply areas for the District Office Complex. Processes incoming and outgoing USPS mail using a metered system, including traveling to the post office. Coordinates daily incoming and outgoing parcel shipments using various computerized courier services (UPS, FedEx, etc.). Sorts and hand-delivers mail and packages to staff and field units promptly. Exercises independent decision-making in setting mailroom schedules. Establish updated mailroom and asset procedures with the District Facilities Manager.

 

Organizes and maintains general office records in both electronic and hard-copy formats to ensure seamless retrieval. Forecasts, purchases, and replenishes office supplies. Oversee the shared equipment and tools program by inventorying assets, tracking check-out/check-in logs, and reporting discrepancies.

 

Schedules meetings, prepares timelines, and coordinates logistics. Assists with general office documentation processing as necessary.

 

Provides support for events and conference room setups by arranging tables, chairs, and equipment according to specifications, and reset rooms after use. Coordinates with Facilities staff to address maintenance requests and keep common areas functional. Serves as the primary operational relief/back-up for the front desk receptionist during breaks, lunches, meetings, training, or absences.

Minimum Qualifications:

  • A High School Diploma or Certificate of High School Equivalency.
