Specific Responsibilities:

This is a Staff Assistant position in the Environmental Public Health Community Sanitation Section, responsible for providing routine and technical secretarial work. Work is performed under the supervision of an Environmental Manager - SES.  This position requires independent judgment, initiative, applying general knowledge of business practices and skill in applying instructions to accomplish various job functions.

 

This position is designated as a sensitive position and required to maintain confidential information in accordance with Florida Department of Health Palm Beach County (FDOH PBC) Information Security Policy, Protocols and Procedures.  Has access to Health Management System (HMS) for Daily Activity Report (DAR) entry only. Incumbent will enter and updates information in Environmental Health Database (EHD) including inspections, permits, customer and billing information. May view, update and release information as needed. Has access to see only the Social Security Data Set.

 

Acts as receptionist, interviews visitors, determines nature of business, directs to proper staff for service. Answers telephone and take messages for staff.   Receives complaint calls and properly documents information on the appropriate form, logs in and distributes to the appropriate supervisor.   Maintains records to ensure proper action has been taken.


Produce forms, routine correspondence, memoranda, confidential reports and inspection/complaint reports related to all facilities. Incumbent will ensure text is properly formatted and ensure all documents are accurate.  Maintains all text files well-organized for quick retrieval, and uses proper procedures to extract, collate and merge stored information as needed. Prepares travel vouchers for all travel incurred by staff, as needed.  Maintains the vehicle logs for maintenance and mileage recording and submits these logs to Administration. 


Receives applications for permits and licenses, enters information into Environmental Health Database (EHD), collect and processes fees in accordance with policies and procedures. Inputs facility information and inspection reports into EHD and other logs.  Responsible for record management including creating files, maintaining files, filing inspection, facility information and scanning files in a timely manner and accurately. Retrieves and reproduces documents as needed for public requests for information.  


Responsible for inventory of supplies, brochures and handouts is well maintained for section. Orders and maintains sufficient supplies, including specialized forms and pamphlets for the availability of staff and distribution mail outs to the public. Assist the Administrative Assistant in the procurement of supplies.   Responsible for daily office mailroom pickup and delivery as well as the opening and distributing of mail.


Serve as back up for Child Care Advisory Council (CCAC). Maintains records of all relevant documents and information including but not limited to meeting agendas, meeting minutes, and member participation.  Ensures materials and space is prepared to accommodate CCAC members and public.


Participate in the standard activities; Outreach, Suggestions, and/or Teamwork. Acts as a back-up for other clerical staff to assure telephones are covered, and workflow is uninterrupted.  

Performs other duties as assigned.

  • Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency. Emergency dutyrequired of the incumbent includes working in special needs shelters, or performing other emergency duties including, but not limited to,responses to or threats involving any disaster or threat of disaster, man-made or natural.
  • Valid Driver’s License.

Working hours: Daily from 8:00AM to 5:00PM, Total hours in workweek 40.
