DESCRIPTION:

This position provides administrative support in a variety of technical and professional areas to the park manager and other park staff.  The administrative assistant is responsible to the park manager and will work as a team with park rangers, various seasonal support staff, and volunteer support staff.  This position also assists in planning, coordinating and implementing all administrative activities involved in park operation.

 

DUTIES INCLUDE:

Answer multi-line phones and direct calls to appropriate party or take accurate messages.  Act as office manager for office operations and insure smooth operation of office procedures. Periodically coordinates the work of toll collector in absence of supervisor. Operates personal computer, two-way radio, relay messages, answers questions from public, gives information and directions, register campers, handles general complaints or diverts matters to appropriate person.  Collects entrance and camping fees and makes reservations for picnic area pavilion. Operates camping registration system.  Plans, corrects, and thoroughly reviews the work relating to the office and gate by other employees. Performs daily checkouts on cash registers and reviews deposits in order that proper fiscal procedures are being followed.  Performs all related work dealing with park operation in park office.

 

Performs assigned fiscal audits, acts as purchasing agent, monitors and tracks park budget, prepares budget reports.  Process payment of utility bills, requisitions, blanket purchase orders, field purchase orders, and p-card.  Acts as primary liaison for the Purchasing Card Program System.  Maintain work project tracking forms, expenditures for projects and project files.  Ensure compliance with all purchasing regulations.  Programs office equipment.  Receives, reviews, and replies to e-mail. Use of internet for research and information.  Maintains details of park budget. 

 

Prepares and processes paperwork relating to personnel activities to include leave and attendance, selection and recruitment, employee relations, PACN, and travel. Acts as liaison for assigned personnel and worker’s compensation actions. Types all correspondence related to reports, meeting minutes, forms, budget request, and special correspondence.  Compiles and edits information for reports. Assist other staff in maintaining cleanliness of park office / ranger station.  Change ribbons in typewriters, printers, adding machines, CRS computer, and credit card machines.

 

Receives and reads incoming mail, screen items which can be handled personally, forwarding remainder to supervisor or other park staff with necessary background material.  Maintains tracking system to ensure correspondence, reports, and other work is timely performed.  Sets up and maintains all files and records of correspondence, documents, personnel files, reports, maps, and other materials relating to the park.  Maintains inventory of forms and office supplies.  Review monthly and OPS payrolls to verify accuracy, process routine and special reports as required.

 

Performs other related duties as required.

 

Knowledge, skills and abilities, including utilization of equipment, required for the position: Knowledge of: good public relations; administrative principles and practices; office procedure and practice; correct spelling, punctuation, and grammar usage; accounting principles and practices; basic filing practices; data collection.  Skills in: operation of personal computer; touch-typing.  Ability to: follow verbal and written instructions; communicate effectively, verbally, and in writing; deal with visitor inquiries in a tactful and courteous manner; understand and apply rules directives, policies, laws, and regulations; prepare reports; work independently with minimum of supervision; establish and maintain effective working relationships with others; work rotating shifts, including nights, holidays, and weekends; coordinate work assignments; operate and maintain multi-function office equipment; operate multi-line phone and two-way radio system; collect, evaluate, and analyze documents related to accounting, personnel actions, purchasing, and budget entry; prepare correspondence and administrative reports, maintain a valid driver’s license.
