This is an open Career Service Health Information Specialist Supervisor – SES position with the Department of Health in Lee County.

 

Your Specific Responsibilities:

The Health Information Specialist Supervisor– SES position is responsible for the overall management and supervision of clinic clerical staff assigned to the Pondella Clinic. This position has access to applicable information required to perform the job.  This position oversees and handles protected health information on a need to know basis following Department of Health Information Security and Privacy Policy procedures, and State/Federal laws. This position spends more than 50% of the time engaged in supervisory responsibilities. This includes communicating with, motivating, training, and evaluating employees in addition to planning and directing employees’ work. The incumbent has the authority to hire, transfer, suspend, lay off, recall, promote, discharge, assign, reward, or discipline subordinate employees or effectively recommend such action. The incumbent will also be required to develop performance expectations, meet with staff regularly to discuss performance, complete performance reviews, maintain vacation and work schedules, ensuring proper coverage, and complete timesheets.

 

Supervision

  • Trains new staff.
  • Ensures procedures and technical assistance guidelines are followed and updated.
  • Maintains and monitors work performance, clinic flow, and reports for efficiency and compliance.
  • Identifies problems, seeks solutions, and implements changes.
  • Maintains high levels of customer satisfaction.

 

Records Management

  • Monitors all functions performed by the department including but not limited to the accumulation, processing, maintenance, retrieval, secured areas, and proper distribution of information and disposal of health information, either in paper or electronic format.
  • Performs storage, archival and disposition of information according to Records Management Policy and local procedures.
  • Submits requests to the Records Management Liaison Officer (RMLO) for disposition of information that has fulfilled retention requirements.
  • Participates or assigns staff on witnessing approved disposition of HIM information.
  • Is the Information Custodian for the Pondella clinic data sets as defined in the current version of DOHP 50-10.
  • Performs Information Custodian functions and provides guidance, review, and direction on release of information (ROI) practices.
  • Acts as the record custodian in court related cases when medical records are summoned by subpoenas for court cases, as need arises, in consultation with our local Legal Counsel.

 

Clinic Support

  • Consults with clinicians and other personnel handling protected health information on matters regarding the technical and administrative aspects of the medical record.     
  • Reviews and disseminates reports for compliance.

 

Miscellaneous

  • Monitors, analyzes and evaluates reported duplicates in system and supervises/performs merge/purge procedures. 
  • Participates with budget preparation and review needs of the department.
  • Participates with special projects and other duties as needed.
  • Provides supervisory coverage Michigan Clinic clerical staff as back-up to Michigan Health Information Specialist Supervisor.

  • This position has the responsibility of being the Information Custodian for the Pondella HIM information set and will perform related duties as defined in DOHP 50-10.
