This position is responsible for Department communications through the district office portal, providing administrative support to Permitting, Compliance Assistance Program, Business Planning, Program Support and Citizen Services to assist in meeting their objectives. This position is a position of trust.

Where You Will Work:

South District - The South District Office is located in Fort Myers. Fort Myers is popular for its great beaches that line the Gulf Coast, shopping and fishing.  Attractions include the historic Henry Ford and Thomas Edison estates, downtown Fort Myers, with its many restaurants and nightlife, as well as nearby Naples and the islands of Captiva and Sanibel. It is a sports enthusiast haven as the Spring Training home of the Boston Red Sox and Minnesota Twins. The South District covers 8 counties (Lee, Collier, Charlotte, DeSoto, Sarasota, Hendry, Glades and Highlands).

Your Specific Responsibilities:

 

Work Product

Ensures all Department communications from the South district to media, legislative offices and other entities of heightened public concern are consistent with Department policy, grammatically correct, clear and messaged appropriately.  Handles calendaring and communication efforts for all offsite venues involving district leadership. Prepares talking point and assists with all outreach projects to ensure consistency with Department policies and agendas.  Secondary duties typically includes performing the following administrative activities: processing and routing of permit applications and other regulatory documents in order to achieve time-to-process metrics, providing exceptional customer service (i.e. greeting customers, answering and routing incoming calls, processing e-files, scanning and uploading e-files), corresponding and interacting with staff and the public, operating office equipment, picking mail and working closely with others in a team setting, supporting district operations and participating in work flow improvement initiatives. Assist in IT issues and back up our primary IT team member.  Provides technical assistance to district personnel on computer software and hardware problems. Assists with CRA responsibilities and revising/deleting of Oculus records.

The incumbent is expected to be helpful, cooperative, polite, respectful, and concerned at all times in their interactions with customers when representing the Department.

 

Outreach, Efficiencies, and Cost Savings

Support, participate, and assist in external outreach events (compliance assistance workshops) assists facility to reduce regulatory burden and enhance relationships with the Department’s stake-holders or general public. Identify potential areas to improve procedures. Offer and participate in solutions to improve workplace efficiencies and result in a cost savings.

 

Training and Safety

Participate and assist with internal training events/activities to gain the essential skills needed to perform job duties. Consistently follow safety protocols and notify management of any potential safety hazards. This includes participating in safety events, job shadowing, on the job training, and team building initiatives as directed by management. Self-advocate for training and partner with appropriate district staff to learn about multiple DEP program areas. Achieve zero accidents and zero loss work time accidents.

Required Knowledge, Skills, and Abilities:

  • Ability to manage time and produce work products that meets or exceeds expectations.
  • Ability to plan, organize, coordinate and ensure proper completion of work assignments in accordance with established procedures and guidance.
  • Ability to multi-task and respond appropriately to varying priorities and task complexities.
  • Ability to organize and accurately process e-file records, update databases and other tracking instruments  .

  • Skilled in the use of Outlook, Microsoft Word, Excel and PowerPoint programs to complete assignments, communicate with coworkers and produce work products that meet customer expectations.

  • Ability to operate general office equipment (i.e. multi-function copier, VOIP phones, postage meters, large scale scanners, hands-free headsets, personal computer, laptop, etc.).

  • Knowledge of computers, peripheral equipment, software and telephone hardware and software.
  • Ability to identify and resolve basic problems with computer systems, hardware, software and telephones.
  • Ability to accurately prepare written correspondence using standardized business formats, correct spelling, proper punctuation and grammar usage.
  • Ability to effectively communicate verbally and in writing.
  • Ability to function as receptionist, telephone operator and greeter.
  • Ability to communicate and interact with the public and others in a courteous, productive and tactful manner. 
  • Ability to establish and maintain effective working relationships with others. 
  • Ability to work independently or in a team setting in an efficient and effective manner.
  • Ability to travel and maintain a valid Florida Driver’s license.
  • Able to lift items weighing up to 20 pounds (i.e. hard copy records, computers, monitors, etc.)
  • Ability to obtain and pass a Background and Fingerprint Check

 

Preferred Qualifications

  1. Knowledge of Continuous Process Improvement and LEAN methodologies
  2. Skilled in Web Management
  3. Skilled in the use of Access
  4. Knowledge of the principles, practices, and techniques of computer programming and/or computer systems analysis.
  5. Multilingual in English and Spanish, Creole or German

 

Minimum Qualifications:

  1. Valid Driver License.
  2. Travel may be required, including overnight.
  3. The ability to successfully complete a Level 2 State and National criminal history background check.
