Job Description:
The incumbent in this position serves as a Senior Word Processor (SWP) in the Division of Blind Services, District 9 Office located in Fort Myers, Florida. The incumbent will perform work using a computer to draft letters, run reports, prepare forms, and/or other material from rough draft, corrected copy or voice recording and may perform other clerical duties as assigned. This position may serve as the primary receptionist for the District Office. The incumbent in this position may also serve as a back-up Human Resource Liaison to the Staff Assistant as needed. Additional duties may include processing travel reimbursements/authorizations, securing travel accommodations and assisting with fleet duties which may include taking the state vehicle for routine maintenance, ensuring the vehicle is clean and has fuel and assisting with vehicle/mileage reports as needed.

- Types from rough draft, corrected copy or previous version displayed on screen, using a computer.
- Types from recorded dictation.
- Addresses envelopes or prepares envelope labels using a computer.
- Gathers and arranges material to be typed, following instructions.
- Adjusts settings for format, page layout, line spacing and other style requirements.
- Checks completed work for spelling, grammar, punctuation and format.
- Stores completed documents on a computer hard drive or a data storage medium.
- Prints and makes copies of work.
- Files and stores completed documents.
- Collates pages of reports and other documents prepared.
- Sorts and distributes mail.
- Answers telephones.
- Operates duplicating machine.
- Transmits work electronically to other locations.
- Computes and verifies totals on report forms, requisitions or bills using an adding machine or calculator.
- Keeps records of work performed.
- Uses data entry devices such as an optical scanner to input data into a computer for revision or editing.
- Completes Human Resource duties as needed which may include preparing and routing personnel packets, assisting with hiring and recruitment, scheduling interviews, and preparing forms.
- Assists with fleet duties which may include maintenance, cleaning and fueling of state vehicles as well as preparing mileage reports.
- Prepares travel authorizations, reimbursements, secures accommodations and may assist with p-card transactions and data entry into the STMS or WORKS travel systems.
Minimum Qualifications:
- Two years of work experience in the operation of word processing equipment; or
- Three years of secretarial or clerical work experience; or
- Possession of a Certified Administrative Professional Certificate.
- Completion of 720 classroom hours of vocational/technical training in word processing at an accredited institution can substitute for one year of the required word processing experience.
- College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for a maximum of two years of the required secretarial or clerical work experience or one year of the required word processing experience.
- Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for a maximum of two years of the required secretarial or clerical work experience or one year of the required word processing experience.
- A high school diploma or its equivalent can substitute for one year of the required secretarial or clerical work experience.
Knowledge, Skills and Abilities:
- Knowledge of correct spelling, punctuation and grammar usage.
- Knowledge of letter, report and tabular formats.
- Skill in typing.
- Ability to operate word processing equipment.
- Ability to use correct spelling, punctuation and grammar.
- Ability to type letters, memoranda, charts and other standard business forms in correct format.
- Ability to proofread typed material for typewritten and grammatical errors and to make necessary corrections.
- Ability to plan, organize and coordinate work assignments.
- Ability to communicate effectively.
- Ability to establish and maintain effective working relationships with others.
