Your Specific Responsibilities:

This position is a highly responsible administrative position providing support to Healthy Start, Doula and Breastfeeding programs, Hug Me, Targeted Outreach for Pregnant Women (TOPWA), Teen Choices and other Maternal Infant Child programs & initiatives.  The position works directly under the supervision of the Community Health Nursing Consultant.  Employee will be designated as security level 3.

 

HEALTHY START: Receive prenatal screens daily from OB providers’ offices. Accurate and timely data entry of Healthy Start prenatal screen information into the Health Management System (HMS). Daily retrieval and processing of infant Healthy Start screens. Processing includes but not limited to data entry, mailing out screens to county of residence, ensuring all missing data is on the screen, identifying issues related to screen completion and consents.  Maintain relationships with all screening providers, including new providers to the area. Request correct data from provider offices as needed to address screening issues.

 

DOULA & BREASTFEEDING PROGRAMS: Provide administrative support related to ordering & purchasing, invoicing, creating purchase orders for contract staff, assisting with flyer development and other marketing materials, maintaining spreadsheets, other data entry needs & scanning.

 

TEEN CHOICES/TOPWA/HUG ME/ONE FIT MAMA: Provide administrative support related to ordering & purchasing, monitoring inventory, maintaining spreadsheets, HMS assistance, copying, filing, scanning, data entry and basic office management including scanning.

 

DOSE: collect monthly data, create educational packets, act as the liaison between St. Lucie Fire District and DOH-St. Lucie for education materials, pack & play inventory.

 

OTHER: any other administrative duty as needed as assigned. Assist with infant mortality and breast-feeding projects as needed. Complete meeting minutes monthly for MCH staff meetings.

 

Delegated as Information Security Custodian for Maternal and Child Health Department, to include updating the Standard Operating Procedure.

 

Back up for Department’s Continuity of Operations Plan

 

Participate in required program trainings & meetings provided by DOH, as well as all staff meetings. Works as back up for the supervisor.  Performs related work as required, including, but not limited to disaster preparedness activities.

Required Knowledge, Skills, and Abilities:

Ability to communicate effectively with coworkers and clients, sit for extended periods of time, data entry and computer experience (specifically MS office/Excel, MFMP, HMS, WFS)

Qualifications:

Minimum:

  • At least 2 years of direct administrative support meeting multiple program needs
  • Typing speed of at least 60 wpm
  • At least 2 years of data entry experience
  • Attention to detail
  • At least 2 years of experience related to electronic medical records, scanning, copying, filing & mailing
  • At least 2 years of experience in scheduling, maintaining spreadsheets, taking phone calls, updating forms, and taking meeting minutes
  • At least 2 years of experience in monitoring inventory
  • At least 2 years of experience operating office machines
  • At least 2 years of experience with Microsoft Office
  • Willing to work in a special needs shelter
  • Willing to work evenings/weekends

Preferred:

  • 1-2 years proficiency in CareWare data entry
  • 1-2 years of proficiency in MyFloridaMarket Place (MFMP)/Ariba purchasing systems
  • 1-2 year of proficiency in HMS system
  • 1-2 years of experience creating marketing materials
  • 1-2 years of experience in community collaboration
  • An Associate's Degree or higher
  • 1-2 years of previous Department of Health (DOH) staff assistant/administrative experience
  • 1-2 years processing prenatal and infant risk screens
