POSITION DESCRIPTION: Obtains quotes for purchasing items and makes purchases using p-card and other payment methods. Processes and prepares invoices. Purchases supplies for the District Office and keeps records for audits. Keep an updated log of budget for all purchases. Coordinates training utilizing The Learning Curve. Maintains individual training plans and keeps staff informed of upcoming training and mandatory training. Schedules classes for staff and attends training related meetings. Acts as backup for the District Secretary’s Administrative Assistant in various office functions as needed. Assist with scheduling meetings and processing office documentation as necessary. Assists in preparation for bi-annual Service Pin Ceremonies, monthly Management Council Meetings, and monthly Virtual Town Halls. Provides support in the annual inventory process by locating and scanning assigned property and equipment. Maintains database for off-site storage records under proper record management guidelines; retrieve and/or refile requests. Operates a variety of standard office equipment such as copiers, scanners, and computers. Processes travel authorization and reimbursements following Department’s policies and procedures.

 

KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of general office procedures and practices; Knowledge of techniques for effectively dealing with people; Knowledge of correct grammar usage; Knowledge of records and file management; Knowledge of budget management and/or procurement of goods and services; Ability to follow instructions; Ability to establish and maintain effective working relationships with others; Ability to review data for accuracy and completeness; Ability to communicate effectively both verbally and in writing to comprehend and follow instructions either verbal or written; Ability to effectively deliver customer service in a courteous, professional, and tactful manner; Skilled in use of office equipment; Skilled in the use of personal computers, word processing, and spreadsheets; Skilled in prioritizing and organizing work assignments.

 

MINIMUM QUALIFICATIONS: A high school diploma or its equivalent and two years of secretarial or clerical work experience. College education from an accredited institution can substitute for one year of the required work experience.

A Competitive Area Differential (CAD) additive in the amount of $1,268.80 will be added to the annual salary.
