The Work You Will Do:
Senior Clerk / District 4 / District Secretary
This position will handle purchasing and invoice processing, maintain budget and audit-ready records, and coordinate all staff training through The Learning Curve. The role also provides backup support to the District Secretary’s Administrative Assistant, assists with meetings and office documentation, and supports events such as Service Pin Ceremonies, Management Council Meetings, and Virtual Town Halls. Additional duties include assisting with annual inventory, managing off-site storage records, operating standard office equipment, and processing travel authorizations and reimbursements in accordance with Department policies.

Annual Salary Range:
$36,015.70 - $46,608.55
A Competitive Area Differential (CAD) additive in the amount of $1,268.80 will be added to the annual salary.
Your Specific Responsibilities:
Obtains quotes for purchasing items and makes purchases using p-card and other payment methods. Processes and prepares invoices. Purchases supplies for the District Office and keeps records for audits. Keep an updated log of budget for all purchases.
Coordinates training utilizing The Learning Curve. Maintains individual training plans and keeps staff informed of upcoming training and mandatory training. Schedules classes for staff and attends training related meetings.
Acts as backup for the District Secretary’s Administrative Assistant in various office functions as needed. Assist with scheduling meetings and processing office documentation as necessary.
Assists in preparation for bi-annual Service Pin Ceremonies, monthly Management Council Meetings, and monthly VirtualTown Halls. Provides support in the annual inventory process by locating and scanning assigned property and equipment.
Maintains database for off-site storage records under proper record management guidelines; retrieve and/or refile requests.
Operates a variety of standard office equipment such as copiers, scanners, and computers.
Processes travel authorization and reimbursements following Department’s policies and procedures.

Minimum Qualifications:
- A high school diploma or its equivalent and two years of secretarial or clerical work experience.
