POSITION DESCRIPTION: Assists with preparing all personnel-related paperwork to include, new hires, promotion, reassignment, pay actions, position descriptions, current and proposed organizational charts, create new hire personnel files, copy documents, and keep a record of all personnel related paperwork.

 

Assists with scheduling meetings. Maintains database for offsite storage, retrieves and/or refiles requests for cost centers. Maintains retention of records according to procedure. Assists and coordinates with management and other administrative staff on purchases, transfers, and surplus of equipment to ensure department procedures are followed and office is in compliance.

 

Assists in making purchases and processing purchasing card charges in Florida Accounting Information Resource (FLAIR) subsystem. Utilizes the State Travel Management System (STMS) to prepare mission critical approval travel for employees in accordance with the latest rules, procedures, and processes. Files general office material and maintains office records. Utilizes word processing and spreadsheet applications for memos, letters, and reports. Coordinates with project managers, section leaders, and managers to process letters of responses in a timely manner. Ensures letters are accurately formatted and responded to prior to suspense date via JustFOIA.

 

Assists Consultant Management Project Managers and In-House Section Leaders with processing typical sections, roundabouts, exceptions, and variations for approval by District Design Engineer or designee. This includes maintaining a database that requires scanning and uploading required information submitted by Project Managers before final approval by the District Design Engineer.

 

Responsible for managing electronic databases: this includes electronic review comments systems, utilizing Electronic Document Management System (EDMS), issuing/resetting new user accounts, updating system records with comments, tracking logs (roll forward, consultant lockdown plan, etc.), utilizing Collaborative Tool to route documents for review, routing documents for signatures via DocuSign, and attending meetings and trainings. Assists with maintaining Design's database for surplus, miscellaneous permits, and records requests.

 

Serves as back up training coordinator. Assists with maintaining individual training plans in the database, tracks annual mandatory trainings, keeps staff informed of training, and attends training-related meetings.

 

Assists with processing vendor/contract invoice transmittals in accordance with the Department procedures. Maintains and track contract information

 

KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of office procedures and practices. Knowledge of computer software including windows applications. Knowledge of and skilled in business etiquette in an office environment and on the telephone. Skilled in the use of office equipment. Skilled in typing correspondence, memos, reports and various documents with established formats using correct grammar and punctuation and review for accuracy. Ability to handle multiple tasks and interruptions. Ability to maintain strict confidentiality when handling sensitive issues. Ability to communicate effectively, orally and in writing. Ability to organize files, records and/or materials. Ability to establish and maintain effective working relationships with others and be adaptable.

 

MINIMUM QUALIFICATIONS:  A high school diploma or equivalent and two years of clerical work experience. A college education from an accredited institution can substitute for one year of the required work experience.

A Competitive Area Differential (CAD) additive in the amount of $1,268.80 will be added to the annual salary.
