*This is an open fulltime Career Service (CS) Supply Data Control Specialist position at the Department of Health in Lee County.*

 

The Supply Data Control Specialist is under the direct supervision of the Public Health Services Manager - SES. The incumbent must be knowledgeable about the responsibilities of the position and able to function under minimal supervision. This position is responsible for providing administrative and logistic support to the Public Health Preparedness Division. This is work performing routine clerical, administrative, and human resources functions. In addition, the incumbent will also be responsible for purchasing commodities and assist with inventory management for PHP and the Special Needs Shelter.

 

Preparedness Logistics

The incumbent will assist in coordinating the logistical functions of the Preparedness Division.

  • Duties may include purchasing, receiving, storing, and issuing materials, equipment, and other items from storage rooms, warehouses, or storage units.
  • The incumbent may assist with recordkeeping and compilation of inventory reports utilizing inventory management software.
  • Assists with maintaining and organizing both PHP and Special Needs Shelter inventory.
  • This position will be responsible for monitoring the life cycle of clinical goods and commodities and final disposal of resources.

 

Purchasing

This position is responsible for purchasing commodities and services for the Preparedness Division in accordance with established polices and produces.

  • Locates and arranges for purchase of goods and services via e-procurement system
  • Prepares and processes purchase orders or competitive solicitations and reviews requisitions for clarity, correctness, completeness, and compliance with Florida statues and Department of Health rules
  • Communicate with appropriate departments to clarify requests, add needed information, or research and obtain supporting documentation for purchase
  • Recommends to departments product substitutes where there will be cost savings and/or improved delivery results

 

Human Resources

The incumbent will facilitate and provide guidance to hiring managers within the assigned divisions on the following HR related processes. The incumbent may perform a specific task within a series of processes, or all tasks related to a process, and may assist the hiring manager with overall guidance, compliance, or even completing certain tasks within a process.

  • Assist hiring supervisor throughout process ensuring compliance with hiring matrix, reference checks, consistent interview questions, and hiring preferences
  • Submit hiring process compliance checklist
  • Submit documents to online applicant tracking system as required
  • Submit verification of degree and/or licensure forms
  • Assist managers with edits/updates to position descriptions
  • Submit requests for reclassifications, promotions, or new positions

 

Administrative

The Supply Data Control Specialist will provide support to managers, other employees, and office visitors by handling a variety of tasks in order to ensure that all interactions between the organization and others are positive and productive.  These tasks include but are not limited to:

  • Handling office tasks, such as setting up for meetings and reordering supplies
  • Providing real-time scheduling support by booking appointments and preventing conflicts
  • Making travel arrangements, such as booking flights, cars, and making hotel reservations, and preparing travel authorizations and reimbursements in the Statewide Travel Management System (STMS)
  • Transcribing minutes from meetings
  • Maintains preparedness vehicle fleet operations to include monitoring maintenance schedules, tracking repairs, and mileage logs.

  • Incumbent may be required to work before, during and/or beyond normal work hours or days in the event of an emergency.  Emergency duty required of the incumbent includes working in special needs or Red Cross shelters, or performing other emergency duties including, but not limited to, responses to threats involving any disaster or threat of disaster, man-made or natural.
  • Selected immunizations or titers and/or periodic screening for tuberculosis may be recommended for this position.
  • Incumbent must possess a valid Florida Driver License and have a motor vehicle to carry out these duties.
