Your Specific Responsibilities:

This position provides professional program support in the Ryan White AIDS/HIV program, serving as the primary contact for the AIDS Drug Assistance Program (ADAP). This position is required to perform administrative duties necessary to procure medication from the ADAP program and pharmaceutical compassionate care programs following all federal and state guidelines, statues, and policies. Performs eligibility determinations for Ryan White programs including Ryan White Part C cap determinations. Assist the Ryan White Program Manager with various duties ranging from the simple to detailed, including performing administrative support such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. This position requires independent judgment and decision-making under limited supervision. Performance is evaluated based upon observation of work performed, conference, reports and program outcomes. Frequent communication with supervisor about performance is expected and will result in a detailed performance evaluation. 

 

Serves as ADAP Coordinator for Okaloosa & Walton Counties:

  • Completes and coordinates enrollment of clients into the ADAP programs under the direction of the Ryan White Program Manager, medical providers, and nurses.
  • Responsible for the enrollment and re-enrollment of clients in the ADAP program following all established guidelines and documentation requirements under the supervision of the Program Manager, Section Chief and Office Director.
  • Requires completing enrollment applications, collecting supporting documentation and submitting required documentation for both ADAP.
  • Responsible for ordering medications and assuring client receipt of medication.
  • Works with the State of Florida Pharmacy and necessary pharmaceutical companies to assure clients receive prescribed medications.
  • Follows all established DOH and ADAP guidelines for ordering and tracking medications including using the ADAP program database Provide Enterprise.  
  • As the primary contact for the ADAP program, responsible for staying up to date on any changes in program policies, processes and communicating these changes to the appropriate supervisor Responsible for attendance at team meetings to discuss medication adherence by clients in the Ryan White program enrolled in ADAP. 

 

Serves as Eligibility/Intake Specialist for Ryan White HIV/AIDS and ADAP Program:

  • Follows DOH guidelines by obtaining pertinent demographic information from clients, including but not limited to, registering and updating client information into the HMS System, completing ADAP and Ryan White eligibility determinations as required, capturing appropriate HMC codes and general support codes.
  • Tracks Ryan White Part C cap charges as appropriate.
  • Schedules medication appointments, follow-up appointments and provides general support for client services. 
  • Enters pre-determined eligibility data into the CAREWare System. Develops and creates detailed program reports as requested.
  • Communicates with Part B lead agency regarding client eligibility for Part B and ADAP
  • Uses HMS, Availity and FLMMIS for financial and insurance updates.
  • Maintains client records within HIPPA compliant standards. 
  • Remains knowledgeable about Part B and ADAP policies and maintains technical skills necessary to perform the duties of this position.

 

Serves as OCHD/Ryan White Provider Outreach Coordinator:

  • Engages and educates local medical providers on Okaloosa County Health Department/Ryan White initiatives including Test & Treat access to antiretroviral medication.
  • Develops sustainable outreach plan to distribute educational messaging to community healthcare facilities and local medical providers to heighten awareness of HIV infection and coinfections with syphilis.
  • Works with the Public Information Officer (PIO) to create and develop messaging material. Implements/maintains tracking system for purposes of reporting progress to the Performance Management Council (PMC) for strategic plan objectives.

 

Assist the Public Health Services Manager (Ryan White Program Manager) with the annual HRSA Ryan White Services Report (RSR). Assists with updating and recording client enrollment status, evaluations and other updates outlined in the Ryan White grant. Assists with non-competing grant continuation, grant progress reports, work plans, grant budget revisions and other grant documentations as required by Ryan White Program Manager. 

 

Develops and creates detailed program reports as requested. Assists in quality improvement activities and process reviews. Fully participates in Quality Improvement initiatives, including the development and implementation of data collection methods. Researches and gathers data. Prepares data and documents to display collected data in meaningful ways. Reviews, prepares and tracks correspondence assignments. Provides support to program to track specific program coding and assists with coding verification. Remains knowledgeable of unit procedures and technical skills necessary to obtain demographic and/or financial data on clients that receive services. 

 

Assists in development and prepares various types of documents including but not limited to forms, letters and spreadsheets.  Also drafts and prepares fliers and pamphlets for special projects. Utilizes computer skills for special projects which may involve activities such as researching collecting, and analyzing information and maintaining the information in a database or spreadsheet.  Screens phone calls, takes messages and refers customers to appropriate offices for services. Responsible for entering all services provided in HMS for clerical support, ADAP, PAP and EARs. Processes incoming digital faxes for DOH-Okaloosa Ryan White HIV/AIDS Program, downloading and attaching to correct HMS charts using HIPPA guidelines.

Remains knowledgeable about agency policies and procedures and maintains technical skills necessary to perform the duties of this position. Prioritizes work and uses time wisely. Maintains confidentiality of all information within the health department. May be called upon work in other areas of the clinic. Participates in workshops, in-services, conferences, meetings and other activities related to public health services. Participates in cross training and other staff development activities for the purpose of career development.

 

Serves as lead for 340B contracted pharmacy program:

  • Assists client with 340B contract pharmacy enrollment.
  • Ensures clients who participate in 340B contracted pharmacy services are eligible and processed according to contacted pharmacy processes and local/federal 340B policies.

 

Performs all other duties as assigned in support of the Agency’s mission and vision.
