Your Specific Responsibilities:

This is a position providing support in the integrated clinic setting Office of Medical and Dental Services (OMDS) in the Okaloosa County Health Department (OCHD) and is expected to meet or excel all performance standards. This position provides clerical support for clinical operations within medical records and scheduling client appointments via the telephone (Call Center) and in person. Position requires display of exceptional customer service, have the ability to communicate effectively, demonstrate a willingness to assist others, and the ability to function in a fast-paced work environment.

 

Schedules appointments using the Call Center and in person for clients/prospective clients of health department services. Refers appropriate callers to a nurse or other medical provider based on knowledge of agency policy and programs. Types the necessary information into the computer to register the client in the HMS computer system and correctly schedules the appointments appropriately, making optimum use of available time and personnel. Utilizes FLMMIS computer system to determine client eligibility for Medicaid. Updates HMS Insurance screen with Medicaid information as needed. Schedules, reschedules, cancels appointments according to the established templates. Completes no-show reports in accordance with established policy.

 

Works within the medical records section which involves: Preparing medical records as needed for clinical appointments, filing, and scanning documents and attaching these into the EHR. Maintains, scans and attaches all medical documents and correspondence ensuring charts, forms, and documents are organized in the EHR according to established guidelines and filed appropriately.  Additionally, ensures that all medical records are signed out appropriately and records are tracked and reconciled daily. Ensures confidentially of medical records at all times. Maintains strict security of the medical records room. 

 

Sends for and receives copies of medical records from outside agencies via digital fax. Attaches received medical records to the appropriate EHR and ensures other received faxes are routed appropriately. Ensures all legal requirements for confidentiality are met and proper release is obtained before sending or releasing records. Prepares files for litigation and subpoenas as requested by legal counsel. Follows established DOH-Okaloosa guidelines for routing and responding to all direct messages received via the clients HMS Health Portal. Maintains log of all incoming and outgoing direct messages.

 

Responsible for the security and confidentiality of all information contained within the information set. Responsible for working with the Information Security Officer to ensure all applicable rules, regulation, and policies regarding the security of information are enforced with respect to this information set. Follows established DOH records retention policies, purges medical records, prepares and sends records for storage/destruction up to twice yearly as outlined by the Records Schedules and Dispositions. Prepares all other personal health and administrative records for the Clinic section for storage and/or destruction. Back-up Information Custodian for the designated information set of Medical Records.

 

Participates in training, workshops, in services, conferences, staff meetings and other activities related to public health. Receives incoming supplies into the Medical Services storeroom and informs the appropriate department immediately upon their receipt.

 

Performs all other duties as assigned in support of the Agency’s mission and vision.

 

Required Knowledge, Skills, and Abilities:

  • Ability to enter and manage data into a centralized data management system
  • Experience working in professional office environment
  • Ability to perform clerical and data-entry tasks with a high degree of accuracy
  • Strong oral and written communication skills
  • Work experience providing customer service
  • Work experience using a multi-line phone system and other general office equipment
  • Work experience utilizing computer equipment and Microsoft Office applications
