MINIMUM REQUIREMENTS:

A high school diploma or its equivalent and two (2) years of secretarial or office clerical work experience; or

Possession of a Certified Professional Secretary Certificate.

College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience.

Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.

JOB DUTIES:

Purchasing 

  • Makes purchases for the division and section as requested by the supervisor or other personnel.
  • Prepares bids, submits requisitions, processes quotes and submits invoices for the sections purchases and expenditures.
  • Stays current on department/division fiscal policies and procedures to ensure timely processing of requisitions.
  • Coordinates with vendors to ensure proofs are distributed and approved in a timely manner.
  • Assists vendors with state registration procedures.
  • Prepares and maintains file copies of bid packages, reports, requisitions, purchase orders, invoices, etc.

Administrative:  This position performs all secretarial and clerical duties for the Public Information & Outreach office including:

  • Proficient use of Microsoft Office software programs to effectively communicate with division personnel and vendors.
  • Recordkeeping, filing (paper and electronic), routine correspondence and research assistance.
  • Prepares needed correspondence provided by supervisor.
  • Assists with travel arrangements and prepares travel vouchers and receipts for the section’s staff.
  • Coordinates the annual PIO office inventory including records and maintains records retention schedule.
  • Prepares and maintains file copies of various publications, major programs and a general file of miscellaneous subjects as determined by supervisor.

Reception and Telecommunications:

  • Serves as a relief operator for the division’s main phone line along with the helpline including breaks and lunches when needed. 
  • Serves as DPI office receptionist by greeting visitors and checking them into the facility following proper protocols.
  • Services as PIO office receptionist by answering telephones and assisting employees with inquiries.
     

Public Information & Outreach Section Support

  • Responsible for researching and reporting daily news items of interest to the supervisor.
  • Maintains electronic log of division’s public outreach activities.
  • Gathers, packages and mails information materials requested by the public.
  • Distributes mail to PIO employees.
  • Maintains office supply cabinet for personnel in the section.

Performs related duties as required including, but not limited to, emergency program support.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Knowledge of Departmental policies and procedures, and of general office procedures and practices.
  • Knowledge in state purchasing and invoice processing.
  • Skill in data entry and retrieval.
  • Skill in telephone customer service.
  • Skill in written customer service.
  • Ability to learn and communicate in specialized and technical language required for division operation.
  • Ability to use computer hardware and software such as MS Word, Excel, Teams, Adobe DC/Acrobat.
  • Ability to learn internal system software.
  • Ability to use photocopy and fax machines.
  • Ability to plan, organize and coordinate information and work assignments.
  • Ability to process information logically and solve problems.
  • Ability to work independently and on a team.
  • Ability to communicate effectively orally and in writing in a courteous and professional manner.
