Your Specific Responsibilities:

Obtains quotes for Information technology equipment and supplies and orders when needed.

Performs purchasing of services  using MyFloridaMarketPlace system or Purchasing Card (P-Card) to process requisitions. Ensures appropriate coding, justifications, and other necessary information is included.

Reserves and pays for seminar registrations for staff that do not have a P-Card for travel.

Creates requisitions in MFMP when required to purchase supplies and equipment in accordance with appliable statutes, rules, regulations, and directives of the Department of Health. Corresponds with vendors on incomplete or incorrect orders. Receives items in MFMP. Also ensures that appropriate coding, justifications, and other necessary information is included.

Creates internal property tags for cell phone purchases and any other item deemed requiring internal property tag.

Marks items received in purchasing system using packing slips supplied from storekeeper.

Provide training for office staff in completing requisitions and performing other various functions within the MFMP system including viewing history, receiving, etc. as it relates to procurement activities.

Maintains master list of where copiers are located, make, model, serial number, etc. and keeps list up to date as copiers are bought, leased, or surpluses.

Maintains master list of staff that have a cell phone, cell phone number, plan type, etc. and updates list as staff are hired or leave. 

Responsible for obtaining and retaining copies of all IRR's, Direct Orders, P-Card purchases, requisitions, invoices, packing slips, which exceed $5000 for equipment and furnishes two copies to designated property staff member for input into Asset Management System (AMS) and for County property manager.

Creates E-Quotes in MFMP system when required.

Maintains maintenance agreements on copiers, mail machine, inserter, rizographs, and other equipment as determined by the Administrative Services Director.

Monitors all requisitions submitted to ensure compliance with all purchasing policies and procedures.

Processes single source purchases ensuring form PUR7778 is completed.

Processes purchase orders for memberships ensuring entity is on approved membership list.

Ensures all policies and procedures are followed for any competitive solicitations.

Purchases dental supplies, equipment and services for dental clinics.

Uses State and Alternate contracts when available for purchases.

Process advance payment purchase orders ensuring required documentation is attached to requisition.

Performs purchasing of promotional and educational items ensuring required documentation is attached from the requestor.

Uses PRIDE or RESPECT when possible as a vendor for purchases.

Purchases incentive items when requested ensuring required documentation is attached.

Purchases vehicles when needed and ensures all required documentation is attached to requisition.

Ensures P-Card vendors have current W-9 on file.

Works with requestors to limit the number of after-the-fact purchase orders. training.

Uses the punchout catalog if available.

Works with and trains vendors to become registered vendors and ensures W-9 is on file.

Provides help to staff to troubleshoot problems with the WORKS system and new employees who obtain P-Card.

Acts as back-up to post packing slips for orders received.

Assists and back-up Storekeeper in receiving refrigerated and other deliveries in warehouse.

Assists and back-up Storekeeper to deliver refrigerated items to medication room and deliver items to departments.

Performs all other duties as required.

 

Required Knowledge, Skills, and Abilities:

Knowledge of MyFloridaMarketPlace system; Knowledge of WORD and EXCEL; Knowledge of  Asst Management System (AMS), Knowledge of FLAIR.

 

Qualifications:

Minimum – Two or more years of computer experience in a professional job setting. Two or more years of purchasing experience in a professional job setting.

Preferred -  experience with State agency procurement
