Your Specific Responsibilities:
This position provides support to the Operation Manager II SES & Records Management Analyst SES to ensure the smooth operation of the department.
Front Desk Eligibility Responsibilities:
• Conducts interviews with clients to assess income, family status, and insurance coverage to determine eligibility for Health Department services and the Presumptive Eligibility for Pregnant Women (PEPW) Medicaid program.
• Initiates and completes required documentation to open electronic health records, verify eligibility, and process annual financial eligibility updates.
• Uses systems such as Availity, Change Healthcare (Revenue), and FLMMIS to verify current insurance coverage.
• Reviews financial documents including WAGES records, Unemployment information, the Medicaid system, and client provided paystubs or other income documentation to determine Sliding Fee Scale (SFS) eligibility.
• Checks in clients for appointments and provides information about available clinic services and eligibility criteria.
• Ensures all forms are updated and legible while maintaining an adequate supply for front desk, clinic, and immunizations.
• Assists clients who wish to change their primary care provider to the Health Department.
• Inputs clients' demographic data into the HMS system, importing initial data via FL SHOTS, and updates information in both systems as needed. Ensure client's information matches in both systems.
• Verifies and scans appropriate identification and documentation into the electronic chart for any client updates or changes.
• Ensures all records and lab slips are labeled correctly before clients are routed to the clinic.
• Confirms and updates the client's status in the electronic chart during each visit.
• Handles medical release requests and coordinates appointments using the designated routing system.
Appointment Desk and Scheduling Responsibilities:
• Schedules appointments-including Foreign Travel-through walk-in visits, client phone calls, and messages.
• Registers new clients for appointments using FL SHOTS and schedules existing clients through HMS.
• Verifies insurance coverage and eligibility for Health Department services with each appointment request.
• Screens clients to determine the appropriate clinic or service area, and documents verified eligibility accordingly.
Immunizations Responsibilities:
• Checks in clients for immunization services, including routine vaccinations, PPDs, QuantiFERON tests, and shot record transfers.
• Updates client demographic information, verifies insurance coverage, and enters or updates insurance details in HMS.
• Adds additional family members to the household record as needed.
• Ensures all forms are updated and legible while maintaining an adequate supply for front desk, clinic, and immunizations.
• Processes immunization record transfers-including foreign and out-of-state records-into FL SHOTS, whether received in person or through the immunization's portal.
Reception Responsibilities:
• Performs receptionist duties within the routing system, including verifying, scheduling, adding, and checking in appointments.
• Serves as the front-line receptionist, assisting clients by providing information about Health Department services and programs.
• Verifies Medicaid and third-party insurance coverage to confirm eligibility for services.
• Schedules appointments and ensures clients are appropriately routed.
• Provides general front desk support and carries out additional tasks as needed to maintain efficient and effective front desk operations.
Switchboard Responsibilities:
Answers a multi-line switchboard promptly, professionally, and courteously; ensures all incoming calls are accurately routed to the appropriate departments or staff.
Additional Duties and Responsibilities:
Scans all clinical documents into HMS. Utilizes progress note to advise other DOH staff of additional approval and/or actions that need to be performed on client case.
Provides back-up/rotates coverage for the switchboard, front desk, and appointment desk, assisting with breaks and coverage during staff absences and extended clinic hours and as scheduled. Performs related work as required. Backs up other Medical Records staff as needed.
Provides coverage to Main, SW and Alachua Clinics if necessary.
Evaluates clients for Refugee Health Program (RHA) eligibility by reviewing county of origin, date of entry, type of entry, etc., collects appropriate paperwork or reviews website for 1-94 documentation, updates alien number, schedules initial and follow-up appointments and immunization appointments, uses appropriate service codes to indicate status of client (i.e., no show, completed), checks clients in, and processes medical releases.
Other duties or tasks assigned by management.
Responsible for securing the designated information sets for purposes of protecting confidentiality, data integrity, and
appropriate access for all information, both confidential and public record, which is stored in hard copy or electronic
format.
Required Knowledge, Skills, and Abilities:
Knowledge of computer software (EHR, Microsoft Word, Excel, HMS, FLMMIS, FLSHOTS, AVAILITY, WAGES, 3rd party insurance websites).
Strong customer service skills, ability to work with the public.
Ability to work collaboratively within a team environment.
Skilled at data entry.
Detail oriented
Qualifications:
Minimum –
Must have a high school diploma or its equivalent.
Must be willing to work an 8-hour shift that may start as early as 7:30 am and end as late as 5:00 pm, Monday through Friday, with a ½ or 1 hour lunch.
Must have at least one year of experience using computers and computer programs such as Word, Excel, or Medical Client databases.
Preferred –
Knowledge of Immunizations, Medical Release, and electronic health records.
Experience verifying Florida Medicaid, Medicare, or third-party insurance coverage through FLMMIS, Availity or other electronic method.
Experience scheduling appointments through an Electronic Health Record.
Experience with Florida Shots.
